Administrative Assistant – Balanced Body & Wellness, PLLC

Part‑Time | Tuesdays, Wednesdays & Thursdays | 9:00 AM – 1:00 PM
Balanced Body & Wellness, PLLC is a boutique functional medicine and wellness practice serving men and women through root‑cause care, metabolic health, hormone optimization, and concierge‑level patient support. We are seeking a dependable, proactive, and detail‑oriented Administrative Assistant who can support daily operations, help maintain a high‑quality patient experience, and assist with digital and social media tasks.

Key Responsibilities
  • Prepare patient charts in the Electronic Medical Record and ensure patients are added to the correct workflows.
  • Manage emails, portal messages, and social media inboxes (non‑clinical questions only).
  • Send patients correct forms, links, instructions, and follow‑up communication.
  • Organize digital documents and ensure files are correctly labeled and stored.
  • Assist with scheduling, reminders, and follow‑up tasks.
  • Upload documents into patient charts and Trello tasks.
  • Perform general office duties to support daily operations.
Digital & Creative Support
  • Must be technologically proficient and able to use Excel, Word, Canva, and digital workflows confidently.
  • Create branded documents, flyers, and simple patient‑facing materials.
  • Schedule and post content across multiple social media platforms.
  • Assist with online marketing tasks as assigned.
  • Help maintain a consistent professional presence online.
Communication & Professionalism
  • Represent Balanced Body & Wellness with kindness, professionalism, and strong communication.
  • Maintain confidentiality of all patient information and proprietary materials.
  • Uphold clinic values and contribute to a supportive environment.
Required Skills & Qualities
  • Technologically proficient (Excel, Word, Canva, email management, social platforms).
  • Strong written and verbal communication skills.
  • Comfortable in a faith‑forward workplace.
  • Highly organized and detail‑oriented.
  • Able to work independently with minimal supervision.
  • Dependable with consistent attendance.
  • Professional, warm, and patient‑centered.
  • Ability to create simple branded materials and manage digital content.
  • Comfortable learning new systems (Trello, Healthie, automations).
Experience
  • Prior admin or customer service experience preferred.
  • Experience in healthcare, wellness, or functional medicine is a plus.
  • Social media management or content scheduling experience is helpful.
  • Must be comfortable using technology daily.
Screening Requirements
  • Two professional references + one personal reference.
  • Background check required.
