The Enterprise Medical Affairs Office Manager provides operational, financial, and administrative support for the Medical Affairs division. This position is responsible for managing business operations, budgeting, physician contracting support, committee administration, project coordination, performance reporting, and strategic initiatives that support enterprise-wide Medical Affairs objectives. The Office Manager serves as a trusted partner to physician leaders, operational leaders, and support departments to ensure efficient, compliant, and high-performing Medical Affairs operations.
Job Description Education- Bachelor's degree in Healthcare Administration, Business Administration, Finance, Public Health, or related field preferred.
- Minimum of 5 years of progressively responsible healthcare administration experience.
- Experience supporting physician leadership, Medical Affairs, physician enterprise operations, or hospital administration preferred.
- Demonstrated experience with budgeting, financial analysis, project management, and executive support.
- Knowledge of healthcare administration, physician leadership structures, and Medical Affairs operations.
- Understanding of hospital and physician governance processes.
- Strong financial management and budget oversight skills.
- Experience with physician contracts and administrative agreements.
- Ability to manage multiple high-priority initiatives simultaneously.
- Exceptional organizational and project management skills.
- Advanced proficiency with Microsoft Office Suite, particularly Excel and PowerPoint.
- Strong analytical, written, and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to build effective relationships with physicians, executives, and interdisciplinary teams.
- Direct daily business office operations for Enterprise Medical Affairs.
- Develop, implement, and maintain standard operating procedures and workflows.
- Coordinate administrative support functions for physician executives, medical directors, and Medical Affairs leadership.
- Lead operational projects and special initiatives aligned with organizational priorities.
- Support integration and standardization efforts across physician enterprise services.
- Assist in the development and management of annual operating and capital budgets.
- Monitor department expenditures and ensure fiscal accountability.
- Prepare monthly financial reports, variance analyses, and forecasts.
- Support physician leadership compensation administration and contract tracking.
- Identify opportunities for operational efficiencies and cost containment.
- Provide administrative and operational support to physician executives, medical directors, department chairs, and committee leaders.
- Coordinate physician contracts, stipends, administrative agreements, and leadership appointments.
- Track Medical Affairs expenditures related to physician leadership activities.
- Facilitate physician onboarding and transition activities for enterprise leadership roles.
- Provides coordination of Physician & APP Enterprise Council, Medical Group Board, Medical Executive Committee (MEC), peer review, credentialing, quality, and other governance meetings.
- Develop agendas, prepare meeting materials, maintain records, and track follow-up actions.
- Ensure compliance with bylaws, policies, and governance requirements.
- Maintain accurate records of committee proceedings and physician leadership activities.
- Develop and maintain dashboards and reports related to Medical Affairs operations.
- Monitor physician leadership performance metrics and operational indicators.
- Analyze operational, financial, and workforce data to support strategic decision-making.
- Create presentations and reports for executive leadership, governing boards, and committees.
- Ensure adherence to organizational policies and applicable healthcare regulations.
