Job Summary: The receptionist supports the corporate office by scheduling appointments, handling administrative requests, preparing reports, and maintaining filing systems. The role enhances office efficiency through systems planning and coordination with the HR Associate.
Duties and Responsibilities:
- Provide general administrative and clerical support including mailing, scanning, faxing, and copying.
- Take and produce minutes of meetings.
- Maintain electronic and hard copy filing system.
- Prioritize projects, resolve problems, conduct research, and pay attention to details.
- Open, sort, and distribute incoming correspondence to designated departments.
- Perform data entry, scan documents, and prepare reports.
- Run company errands to post office and office supply store; maintain supplies.
- Answer and manage calls from business partners, senior management, and staff regarding inquiries.
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
- Assist with agency projects as needed.
Minimum Qualifications:
- Associate’s degree in Management or related field, or equivalent combination of education and experience.
- 1‑2 years of previous administrative work experience.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Excellent interpersonal, oral, and written communication skills.
- Ability to maintain confidentiality.
- Strong organizational, problem‑solving, and planning skills in a fast‑paced environment.
- Attention to detail and ability to multi‑task.
- Creative mindset with ability to suggest improvements.
- Bi‑Linguistic English/Spanish preferred.
- Positive working‑relationship building.

Salary Range: $18.27 to $20.19 hourly
