Position SummaryWe are seeking a highly organized and customer‑focused Tenant Services Coordinator to serve as the central hub for work order management and daily operational coordination across a large real estate portfolio. This role is critical to delivering timely, professional tenant service while ensuring seamless communication between tenants, vendors, and internal teams.
The Tenant Services Coordinator will manage work order intake, vendor dispatch and scheduling, status tracking, invoice processing, and monitoring of critical lease dates to support proactive property operations.
Key Responsibilities- Serve as the primary point of contact for tenant service requests via phone, email, and online portal
- Accurately log, prioritize, and track work orders from intake through completion
- Maintain clear, consistent communication with tenants regarding status updates and resolution timelines
- Dispatch and schedule vendors in accordance with service requirements, contracts, and response times
- Coordinate access, monitor progress, and follow up to ensure timely and satisfactory completion of work
- Escalate urgent or unresolved issues as needed
- Review vendor invoices for accuracy, completeness, and alignment with approved work orders
- Route invoices for approval and assist with processing in accordance with company procedures
- Maintain organized records of work orders, vendor activity, and related documentation
- Track and monitor critical lease dates, including expirations, renewals, options, and notice periods
- Provide timely notifications and reports to management to support compliance and proactive planning
- Support property management and facilities teams with day‑to‑day operational needs
- Assist with reporting, data entry, and maintenance of work order and lease management systems
- Ensure service standards, response times, and documentation requirements are consistently met
- 2+ years of experience in tenant services, property management, facilities coordination, or a related administrative role preferred
- Strong organizational skills with the ability to manage multiple priorities in a fast‑paced environment
- Excellent written and verbal communication skills with a customer‑service mindset
- Experience working with work order management systems and lease or property management software preferred
- Proficiency in Microsoft Office (Outlook, Excel, Word); ability to learn new systems quickly
- High attention to detail and strong follow‑through
- Ability to work independently while collaborating effectively with internal teams and vendors
