The Project Administrator (P.A.) owns each store from site selection through opening. They maintain all formal communications related to the development schedule and lease obligations, manage overall development and construction, and provide a strategic vision for resource management and cost control.
Essential Job Functions- Assist the Expansion Committee by providing solutions, pricing, and development feasibility for prospective properties.
- Respond to municipality violations for prospective properties prior to project commencement.
- Review Geotechnical Reports, Phase 1/2/3, Asbestos Surveys, Lease Documents and provide solutions for conflicts with the intended development.
- Manage Build-to-Suit/New Construction Building Lease Projects: receive construction documents, review feasibility and value‑engineering opportunities, and verify lease terms with landlords.
- Place projects onto the Real Estate Schedule based on historical data, consultant reports, location, climate, and operational strategy.
- Verify preliminary pre‑engineered metal building orders for proper dimensions and materials; provide final approval for fabrication.
- Secure surety’s, special inspection documentation, and permit applications with the design team.
- Select and qualify bidders based on contractor workloads, performance, licensing, and geography; present the bid list to the Construction Manager for approval.
- Negotiate bids, ensuring they reflect construction documents, and prepare Rent Factor Change Forms.
- Work with stakeholders to establish timelines, issue hard‑date emails, and coordinate vendor notifications.
- Monitor projects using weekly field reports, photos, and direct communication with contractors; issue notices of national account delivery and fixture installation.
- Approve construction materials testing reports, verify soil compaction, concrete strength, and fastener torque specifications.
- Visit sites to verify progress and troubleshoot construction issues, negotiating code requirements with governing authorities.
- Issue the Four‑Week Checklist, coordinate punch‑list items, and ensure timely resolution before store installations.
- Assist with warranty issues, coordinate with maintenance and GC teams, and manage warranty reports.
- Handle ADA violations, lien notices, construction defect cases, and emergency response for natural disasters.
- Manage special projects such as corporate/regional office projects and distribution centers.
- Bachelor’s degree in Business Administration or Construction Management and 3+ years experience in a construction‑related position, preferably in the public sector or comparable experience.
- 3–5 years experience in corporate real‑estate with project management, information gathering, and reporting.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Excellent project organization and time‑management skills.
- Superior communication and networking abilities; able to collaborate across departments, with contractors, vendors, landlords, and team members.
- Ability to quickly learn new job‑related information and maintain a can‑do attitude.
