ESSENTIAL DUTIES AND RESPONSIBILITIES
- Dispatch technicians.
- Supply job packets to all appropriate technicians.
- Identify and resolve errors promptly.
- Distribute information to technicians and departments in a timely manner.
- Notify technicians of last‑minute changes via texting or phone calls.
- Assist company personnel as needed.
- Strong knowledge base of commercial equipment.
- Research and resolve problems and questions or properly refer them to the appropriate manager.
- Maintain the company’s professional reputation.
- Ensure work areas are organized, secure, and well maintained.
- Complete special projects as assigned.
- Attend meetings as required.
- Track and approve employee hours worked and employee time off for entry into the HRIS timekeeping system.
- Answer telephone calls during the work shift from field personnel reporting their hours worked.
- Must be connected to the HRIS system and available to take calls from field personnel for the entire shift.
- Verify field personnel work tickets have been received into the HRIS system and completed correctly; start and end times recorded, work tickets signed by customer, and materials used are included.
- Verify daily attendance and hours worked for all assigned field personnel.
- Record employee attendance information on digital timecards, such as attendance notes, attendance policy violations, and leave pay.
- Provide attendance/time‑card information to supervisors, fellow workers, and subordinates when required.
- Work with customers to provide detailed service information.
- Stay informed, keep up with, and apply the company policies and rules that affect timekeeping.
- Work directly with the payroll specialist to ensure accuracy of daily digital timecards for every employee.
- Use Microsoft Excel to compile and format attendance‑related reports.
- Additional duties or projects as assigned.
Requirements
EDUCATION AND EXPERIENCE
- High school education/G.E.D.
- Mechanical contracting background.
- Knowledge of administrative and clerical procedures and systems such as word processing systems, filing and records management systems, and other office procedures and terminology.
- Strong customer service background.
Language Skills
- Ability to read and comprehend instructions, short correspondence, and memos.
- Ability to effectively present information in a one‑on‑one setting to members of management and fellow employees.
- Ability to write legibly for form completion.
QUALIFICATION STANDARDS
- Ability to perform essential job functions consistently safely and successfully with ADA, FMLA, and other federal, state, and local standards/requirements.
- Ability to meet and maintain all qualitative and/or quantitative productivity standards.
- Ability to maintain reasonably regular and punctual attendance consistent with ADA, FMLA and other federal, state, and local standards/requirements.
- Compliance with all personnel policies and practices.
- Ability to comprehend and carry out safety-sensitive duties according to company policies, procedures, and safe work practices.
- Ability to perform simple cognitive tasks such as reasoning, planning, multitask, simple mathematics, and teamwork (able to handle conflict or disagreements appropriately).
Salary Description $100,000 - $135,000 per year depending upon experience.
