Contract Support Administrator

A great opportunity for an experienced Facilities or Contract Support Administrator to join a well-established Facilities Management provider. You will support the coordination of reactive maintenance and across a busy contract portfolio, ensuring smooth workflow between engineers, subcontractors and clients.

The Role:

  • Act as the first point of contact for service requests via phone/email.
  • Log, prioritise and manage reactive and tasks using the CAFM system.
  • Allocate work to engineers and subcontractors, tracking progress through to completion.
  • Maintain accurate CAFM records, asset data, and compliance documentation.
  • Issue PPM schedules, book specialist visits, and chase service reports.
  • Keep electronic contract files fully audit-ready.
  • Support Contract Managers with statutory and compliance administration.
  • Raise and track purchase orders in Xero, process invoices, and resolve basic PO queries.

About you:

  • Experience in an FM Helpdesk or Contract Support role.
  • Strong organisational skills with the ability to manage multiple concurrent tasks.
  • Excellent communication and customer service skills.
  • Confident working independently while being part of a wider FM team.
  • Essential: CAFM system experience within the FM environment.
  • Desirable:
    Knowledge of MRI Evolution, E-Logbooks, or Ventify.
  • Beneficial:
    Experience raising purchase orders using Xero.
  • GCSEs (or equivalent) including English and Maths.
  • Essential:
    Due to location of the business you will NEED TO DRIVE.
