We are looking for a highly organised Receptionist with exceptional customer service skills to provide a welcoming, confident and professional approach to this post. This role incorporates the Trust values when carrying out duties. HPFT places great emphasis on providing the highest standard of customer service to our Service Users, Carers and Visitors, so these skills will be an integral part of your personality.

You will provide a range of reception duties ensuring that the reception runs smoothly and efficiently. Applicants must demonstrate excellent IT skills and a good working knowledge of Microsoft Office applications.

The Site is operational between the hours of 9:00am – 5:00pm, Monday to Friday. The Post is part time:
Thursday and Friday, 9:00am – 5:00pm.

Main Duties
  • Answer the telephone and transfer calls to appropriate departments.
  • Welcome Service Users, Carers, Professionals and Visitors to the Site and deal with enquiries face to face or on the phone.
  • Check IDs and hand out security alarms and keys; training will be provided.
  • Report maintenance and cleaning issues to the Help Desk and keep accurate and up‑to‑date maintenance logs.
  • Act as Fire Warden and keep the Reception area clean, tidy and organised.
  • Deal with deliveries of stationery and other items to the building.
  • Book clinical and meeting rooms for Clinical and Corporate Staff; training will be provided.
  • Work closely with other members of the Reception Team to ensure a smooth and effective Reception Service.

Person Specification Qualifications
  • Good level of education/GCSE or equivalent incl. English Language
  • Good level of numeracy
Previous Experience
  • Experience of working in a healthcare/mental health care/office environment
Skills / Knowledge / Ability
  • Proficient in the use of Microsoft Office software, in particular Outlook, Excel and Word
  • Wide knowledge of office procedures including use of technology
Communication Skills
  • Excellent verbal and written communication skills, in person, on the telephone or electronically
  • Experienced in dealing with people in distress in a calm and confident manner
  • Proven skills and experience establishing effective working relationships with service users, managers and colleagues
Analytical Skills
  • Problem solving and decision making regarding appropriate information disclosure
  • Responsibility for maintaining accurate records
Disclosure and Barring Service Check
