37 About the Role We are looking for a highly organised and customer-focused Repairs & Maintenance Administrator to join our Repairs and Maintenance Team on a 6-month fixed-term contract. This is a busy and varied administrative role where you will provide essential support to the Maintenance Coordinators and Team Leader, helping to ensure repairs, maintenance works and void property activities are accurately recorded, monitored and delivered efficiently.
You will play a key role in supporting customers, contractors and colleagues by coordinating appointments, processing works orders, maintaining records and ensuring excellent customer service throughout the repairs and maintenance process.
Key Responsibilities As a Repairs & Maintenance Administrator, you will:
Provide comprehensive administrative support to the Repairs and Maintenance Team. Support Maintenance Coordinators and the Maintenance Coordinator Team Leader with day-to-day activities. Respond to enquiries from customers, contractors and colleagues relating to repairs, maintenance and void properties. Raise, process and update repair, maintenance and void works orders. Arrange appointments for inspections, repairs and maintenance works. Maintain accurate records and update management systems in a timely manner.
Monitor outstanding works and escalate delays where appropriate. Prepare reports, spreadsheets and performance information as required. Process correspondence, emails, invoices and other service-related documentation. Support the administration of void properties, ensuring records remain accurate throughout the process. Liaise with contractors, suppliers and internal departments regarding appointments, access arrangements and updates on works. Assist with maintaining compliance, repair and maintenance records.
Undertake filing, scanning, data entry and other general administrative duties. Ensure compliance with data protection, confidentiality and health and safety requirements. Demonstrate and promote the Council's values and behaviours at all times. About You We're looking for someone who is organised, efficient and committed to delivering excellent customer service. Essential Experience and Skills
Experience of maintaining accurate records and data.
Experience of delivering excellent customer service. Strong administrative and organisational skills. Ability to prioritise a varied workload and meet deadlines. Good attention to detail and accuracy. Excellent communication skills, both written and verbal. Confidence using Microsoft Office applications, including Word, Excel and Outlook. Ability to work effectively both independently and as part of a team.
Desirable Experience working within a repairs, maintenance, housing or property environment. Experience using housing management, repairs or scheduling systems. All offers will be subject to satisfactory compliance screening, including right to work in the UK and references
