The role

As our Workforce Planning & HR Systems Coordinator, you’ll play a pivotal role in keeping our workforce, systems and operations running smoothly. You’ll take ownership of HR system accuracy and compliance, ensuring teams know how to use the system confidently while spotting anomalies and driving better data discipline. From training users to running essential reporting, you’ll be the go‑to expert who keeps our people data clean, compliant and actionable.

You’ll also lead the coordination of our workforce planning, translating headcount needs, skills gaps and trainee capacity into a live, reliable resourcing model. Working closely with Operations, Recruitment and the People team, you’ll ensure we hire the right people, at the right time, with the right skill mix. Supported by strong reporting and targeted routes to market, your insight will shape decisions on technicians, trainees, apprenticeships and future workforce availability.

Alongside this, you’ll keep our 500‑vehicle fleet aligned with staffing needs, making sure every technician has the right van, at the right time.

This is a highly collaborative role, working across People, Finance, Logistics and Operations. To succeed, you’ll bring strong HRIS knowledge, excellent Excel and reporting capability, and the confidence to engage stakeholders at every level. Key

responsibilities
  • Maintain HR system accuracy and compliance, ensuring all data is up to date, reliable and consistently audited.
  • Deliver system training and support to ensure colleagues understand holidays, absence processes and general usage.
  • Run regular compliance checks, flag anomalies and drive corrective actions across People and Operations teams.
  • Maintain a live workforce planning model, clearly outlining headcount needs, skills gaps and trainee capacity.
  • Work closely with Recruitment to shape targeted hiring strategies based on accurate, timely workforce data.
  • Coordinate with People, Finance and Logistics to align resource planning, vehicle availability and operational requirements.
  • Support the 500‑van fleet process, ensuring vehicle allocation matches technician demand with no downtime.
  • Partner with Depot Managers to ensure accurate tracking of holidays, sickness and absence within our HR system.
  • Provide accurate reporting to support budgeting, forecasting and operational decision‑making.
  • Support CFS communications and deputise for the Communications Manager when required.
  • Monitor completion of mandatory training and elevate non‑compliance to senior leaders.
About you
  • Proven experience with Dayforce or another HRIS platform, or the ability to learn new systems quickly.
  • Strong Excel and data reporting skills, with the ability to turn information into clear, actionable insight.
  • Confident communicator who can work effectively across People, Finance, Logistics and Operational teams.
  • Skilled at managing multiple priorities with accuracy, structure and attention to detail.
  • Comfortable challenging stakeholders where needed and influencing decisions using data.
  • Process‑driven, proactive and able to build reliable systems that others can follow.
