Job Description
The Staffing Coordinator is responsible for ensuring adequate coverage in accordance with clinical and staffing requirements for each department under Patient Care Services. The position is accountable for appropriate schedule management, including maintenance of a balanced and accurate schedule, and works in collaboration with nursing leadership to manage coverage on nursing units and maintain accurate time and attendance records in Kronos.
MajorAccountabilities/Critical Responsibilities
- Utilize Kronos for schedule maintenance, including facilitating the open and close of self‑scheduling periods for all departments, maintaining daily staffing assignments, proactively filling open shifts for designated departments, providing entry of PTO for all callouts, and handling other related requests as needed.
- Utilize Kronos to maintain accurate time and attendance timecard records, including reconciliation etterover time, unscheduled shifts, and other related data.
- Apply knowledge of clinical requirements for various departments under Patient Care Services to identify staffing needs and appropriate solutions.
- Communicate directly with clinical personnel to proactively fill open shifts in an equitable and fiscally responsible manner.
- Escalate known short‑term and long‑term staffing needs to the Nurse Manager/Assistant Nurse Manager and Clinical Director when alternative staffing coverage methods may be required.
- Manage daily assignment of clinical personnel, including all Float Pool personnel, based on unit needs, including coverage for callouts, vacant shifts, and census; distribute Staffing Assignments twice daily via email to Nursing Leadership.
- Coordinate interdepartmental daily Flash Rounds to highlight unit census, discharges, admissions, transfers, staffing needs, and floating assignments.
- Receive and document all callouts in the Absence Log and provide information to nursing leadership as needed, ensuring callouts are reported to the unit.
- Maintain the Patient Observation Log daily in Excel for all assigned sitters throughout nursing departments and assist in rotating sitters as outlined in Nursing Procedures.
- Maintain oversight of the Discharge Suite:
- Ensure adequate coverage of the Discharge Suite schedule.
- Ensure the Discharge Suite log is completed within 24 hours.
- Assist in Discharge Suite coverage – accept all patients brought into the suite, assist in retrieval of patients from units, attend to patient needs while in the suite, facilitate rides home, and assist patients to the car.
- Attend continuing education and department‑specific training and education programs.
- Ability to think critically and analytically, and function independently to ensure decisions are made within allotted time limits.
- Demonstrate professional behaviors as outlined in the Stamford Hospital Service of Excellence Standards Addr comma ; and comply with organizational policies and procedures.
- High School diploma or GED required.
- Associate Degree or 2 years work experience in a related area strongly preferred.
- Current knowledge of Microsoft Office applications is required.
- Prior experience with Kronos (or a related system), scheduling, and payroll management is strongly preferred.
- Must have excellent interpersonal, communication, and organizational skills.
- Required to assess complex details to prioritize and problem‑solve.
- Adapt to changing priorities and requests.
