Office Administrator – Office Operations Manage the daily flow of office operations – coordinating, scheduling meetings, and managing appointments. Coordinate calendars; make travel arrangements, prepare meetings, and follow up. Support small‑scale project coordination, ensuring deadlines are met and details are not overlooked. Monitor emails and organize the filing system.
Administrative Support Handle incoming calls and emails, prepare documents and maintain filing systems. Prepare and format documents, reports, and presentations for internal and external use. Handle correspondence with professionalism and discretion. Order supplies and perform duties as assigned.
Facility Management Maintain office equipment, coordinate repairs, and manage inventory of office supplies.
Bookkeeping Perform bookkeeping using Quick Books to record all financial transactions, including recording deposits/EFT, recording expenses under appropriate accounts, paying bills, preparing cheques, and monthly reconciling of bank/Visa. Ensure all documentation is scanned and uploaded to Quick Books. Must have basic accounting principles needed to properly administer financial tasks. Plooto experience would be an asset.
Data Management Maintain organized digital and physical filing systems for quick and easy access to information. Update and manage databases, and perform data entry.

Track PD Approval and Reimbursements
Track iMIS
Coordination Organize travel arrangements and coordinate office events (Rep Meeting, Member Socials, AGM, Executive Meetings).
Communication Act as the main point of contact for members and visitors.
Required
Skills and Qualifications Strong verbal and written communication skills.
Proficiency in Quick Books, Microsoft Office Suite (Word, Excel), and other office software.
Excellent time‑management and ability to prioritize tasks.
10 months per year (Beginning of September to end of August). Employee eligible for EI for summer.
$30 per hour, 35‑hour work week, hours 8am–4pm (includes one‑hour unpaid lunch).
After 3 months, benefits (personal/family) RRSP (to be discussed).
