About the Role
The Academic Advisor is responsible for providing high-quality advising on academic program requirements and monitoring academic progress of students in all undergraduate and professional programs within the Faculty of Education. This includes domestic students, transfer students, international students, exchange students, students doing a minor, and students looking to change their major. The incumbent also conducts degree audits, coordinates LOP applications and transfer credits, supports events and recruitment initiatives, manages readmissions, and adjudicates and monitors the registration system.
Responsibilities
Perform academic advising for students in all undergraduate and professional programs within the Faculty of Education.
Review student program planning, including course selection and program/faculty/university requirements.
Inform students about prerequisite requirements, course restrictions, and the advising services available.
Identify and handle program re-sequencing requests and leave of absence requests for limited enrollment programs in collaboration with the manager.
Respond to inquiries via email, telephone, and in‑person.
Manage advising appointments, both virtually and in person, opening appointment times and tracking student requests and inquiries.
Understand requirements for external professional groups, including the Ontario College of Teachers and the College of Early Childhood Educators.
Coordinate letters of permission applications, transfer credits, and exchange course approvals with Chairs/Directors and other stakeholders.
Participate in classroom presentations and orientation sessions to support student success.
Attend student recruitment events such as the Ontario Universities’ Fair, Fall Preview Day, Spring Open House, and others as needed.
Collect data across campus on academic advising, student satisfaction and advising outcomes.
Assess and provide feedback to the Dean’s Office and the Office of the Registrar & Enrollment Services on gaps in the curriculum impacting student success, retention, and completion.
Provide insight to the Academic Review Committee for proposals.
Please note this position may be required to work outside of regular business hours, including evenings and weekends, to support operational needs.
Key Skills and Experience
An undergraduate degree in a related field.
Experience with academic advising in a post‑secondary environment.
Knowledge of academic advising models, theories, and techniques, and counselling theories.
Understanding of the undergraduate course calendar, course offerings, prerequisites, and class scheduling for the Department/Faculty.
Knowledge of university regulations, policies, strategic initiatives, programs, services and systems.
Strong active listening, verbal, written and interpersonal skills.
Ability to coach, mentor, and motivate students.
Ability to interact effectively with persons from diverse backgrounds and support equity‑deserving groups.
Demonstrate patience, empathy and understanding, with the ability to communicate sensitive information tactfully and diplomatically.
Excellent creative problem‑solving, organizational and multi‑tasking skills.
Excellent prioritization and record‑keeping abilities.
Adaptability and the ability to learn quickly and apply new knowledge.
Preferred or Asset Skills
Degree from within a relevant program preferred.
Having experienced a non‑linear path or challenging experience with academics.
Salary and Total Rewards
Job Grade K, Salary Scale ($61,286–$99,384).
Target Salary: $61,286–$63,000.
Permanent position.

The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
