The Position
The ideal candidate will be focused, dependable, and an organized Parts Coordinator who keeps our team moving forward. This role is about efficiency, follow-through, and clear communication. This position supports our technicians and office employees by sourcing and ordering the required parts, coordinating with suppliers, and ensuring materials are ready when needed.
We are a team-oriented company that values strong, open communication. The ideal person will work well with others, stays proactive, and take ownership of getting things done properly and on time. A willingness to learn and improve is important, as is the ability to stay organized in a fast‑paced environment.
Role and Responsibilities:
Coordinate with Parts Department/technicians on parts needed
Prepare purchase orders, using third party software, and order parts
Enter receipts and parts information into software to maintain inventory accuracy
Ensure service orders are accurate, complete, and submitted in a timely manner
Pick parts and complete paperwork to ship parts to customer locations, as needed
Receive incoming shipments, verify contents against packing slips, and report discrepancies
Label, organize, and store incoming parts in designated inventory locations
Prepare shipments, including packaging, labeling, and arranging carrier pickups
Maintain shipping and receiving records, including tracking numbers and delivery confirmations
Coordinate with carriers and vendors to resolve shipping issues or delays
Ensure compliance with shipping regulations and company procedures
Maintain a clean and organized shipping/receiving area
Other administrative duties as assigned
Qualifications:
High school diploma or equivalent
Minimum 1-3 years experience in an Administrative or similar position
Excellent English communication skills (written and verbal)
Team player with the ability to communicate and collaborate with others
Excellent organizational skills and ability to multi task
Proficient in Microsoft Office
Willingness to learn new skills and software
Ability to work Monday to Friday, with flexibility to work shifts between 7:00am - 5:00pm
