Job Summary

The Accounts Receivable Specialist is responsible for managing incoming payments, maintaining accurate customer accounts, and ensuring timely invoicing and collections. This role plays a key part in monitoring homeowner and insurance deposits, applying credits, tracking referrals, and moving jobs efficiently through the company's financial and operational pipeline.

Key Responsibilities

Homeowner Deposits

  • Receive, record, and track homeowner deposits
  • Ensure deposits are applied accurately to the correct jobs and accounts
  • Reconcile deposit records with accounting systems

Insurance Deposits

  • Process and track insurance-related deposits
  • Follow up on outstanding insurance payments as needed

Invoicing and Payments

  • Generate and send accurate invoices to homeowners
  • Post payments (checks, electronic payments, etc.) in a timely manner
  • Resolve payment discrepancies and customer billing questions

Homeowner Credits

  • Apply and monitor homeowner credits
  • Ensure credits are properly documented and reflected in customer accounts
  • Communicate credit balances when applicable

Homeowner Referrals

  • Track homeowner referral credits or incentives
  • Ensure referrals recorded accurately and applied according to company policy

Pipeline Management

  • Move jobs through the financial pipeline
  • Coordinate with operations, project managers, and sales teams to ensure billing milestones are met
  • Monitor job statuses to ensure accounts remain current

Reporting and Recordkeeping

  • Maintain organized and accurate accounts receivable records
Qualifications
  • High school diploma or equivalent (Associate's degree in accounting or finance preferred)
  • Previous accounts receivable or bookkeeping experience preferred
  • Strong attention to detail and accuracy
  • Ability to manage multiple accounts and deadlines
  • Proficiency with accounting software and spreadsheets
  • Strong communication and organizational skills
