Location:

This role is office-based 5 days a week at Zero Waste Scotland Office, Moray House, Stirling. Vacancy Type:
Full Time Permanent. Final date to receive applications:

Salary: £25,618 - £27,604 (pending pay award effective 1st April 2026) with candidates usually being offered the starting salary for the grade unless they have significant experience.

Job Summary

Our Reception & Office Support Administrator will provide a professional and welcoming environment for our colleagues, visitors and co‑working organisations. Reporting to, and working closely with, the Health & Safety Officer, this role will support the smooth running of the office and will always maintain a professional service. We are looking for someone with experience working in a customer facing environment who can handle requests reliably and with discretion.

  • Knowledge of Microsoft Office.
  • Excellent interpersonal skills.
  • Good organisation skills.
  • Ability to work to timescales.
Responsibilities
  • Provide high-quality administrative support to colleagues across Zero Waste Scotland and co‑working organisations within the office.
  • Deliver a professional and welcoming front‑of‑house reception service for all visitors.
  • Manage incoming telephone calls and general enquiries, ensuring these are handled efficiently or directed to the appropriate team.
  • Check incoming deliveries, process delivery notes, and ensure accurate record‑keeping.
  • Raise and process purchase orders in line with internal procedures.
  • Schedule and coordinate meetings, including booking meeting rooms (internal and external) and arranging catering where required.
  • Support colleagues with travel and accommodation arrangements.
  • Assist in the coordination and delivery of workshops, conferences, and stakeholder events as required.
  • Coordination of the contractor planner and monitoring of regular maintenance visits ensuring visit notes are logged.
  • Monitor and maintain office equipment, including taking meter readings and ensuring adequate stock of supplies such as toner.
  • Maintain effective filing and archiving systems in line with organisational procedures.
  • Support the onboarding process for new starters, ensuring a smooth and positive experience.
  • Undertake any other reasonable duties as required by the line manager.
