Starting salary: £34,721 pro rata, per year

Contract type: Fixed term for 18 months

Grade: 3

Location: Stirling Castle, Castle Wynd, Stirling FK8 1EJ

Working Hours: 35 hours per week, 5 days out of 7 (including weekends and evenings)

The Deputy Events Manager is responsible for organising events, ensuring excellent service for clients booking Stirling Castle, Argyll's Lodging, or The Argyll & Sutherland Highlanders Museum event spaces for corporate events, weddings, and other events out with the normal visitor experience.

You will play a key role in liaising with the Event Manager, the Central Event Sales Team and the on-site catering partner to deliver an outstanding experience for the client. Together you will deliver for HES an outstanding experience for clients, visitors, enrich local communities and run a successful commercial operation.

Key Responsibilities of this role
  • Responsible for the management of all aspects of assigned confirmed events, including the management of external suppliers working on-site, clear communication of necessary information to the wider castle.
  • Support the Events Manager to deliver a wide range of events and commercial activities across the Stirling District.
  • Manage on-site client relationships to deliver successful events through meeting client expectations.
  • Act as deputy manager for a wide range of events (including Ministerial, Corporate Events and Weddings) as required.
  • Be responsible for all onsite staff, guests and suppliers during events, responding to emergency situations out with Castle opening times and leading on the resolution of any incidents such as fire alarms, visitor ejections, first aid and medical emergencies etc.
  • Undertake the role of Duty Manager on a rota basis with responsibility for resolving onsite staff issues, dealing with complaints and/or visitor queries, and implementation of emergency procedures.
  • Contribute to Historic Environment Scotland's overall event sales targets by supporting the activity of the Central Sales Team to convert enquiries into bookings.
  • Conduct site visits for clients before and after they confirm a booking, showcasing event spaces and explaining options available to the client, which may enhance their experience and increase income to the site recommended through upselling suppliers entertainment offerings.
  • Lead on the scheduling of appropriate staff for each event and supervise the assigned Event Assistant Team assisting the delivery in each case. This involves delivering training, assigning events in alignment with their allocated hours and overseeing time management to ensure they deliver their responsibilities.
  • Generate event sheets and ensure every event has the appropriate information for all staff and managers involved to provide a 5-star service to clients.
  • Manage and co-ordinate pre-opening and private day-time tour bookings, liaising with clients to confirm details and catering partners for any bookings involving catering. Be on-site for bookings to check that the hospitality area is set for tour arrival and support staff for larger group bookings.
  • Supervise filming and photography requests and manage other one-off events as required.
