Operations Specialist

Adapt Health is seeking an Operations Specialist to support the Operations Team across multiple regions. The role involves coordination of processes, data analysis, compliance, and customer service activities to optimize workflow and revenue cycle.

Position Summary

The Operations Specialist is responsible for supporting the Operations Team through multiple tasks required for the successful support of each region’s individual needs.

Responsibilities
  • Support operations team with discovery and training of Adapt Health processes.
  • Provide support during process improvement initiatives, assisting all workflow areas including verification and data analysis.
  • Develop and maintain knowledge of current products and services.
  • Familiarize with payer guidelines and read clinical documentation to determine qualification status and compliance for equipment and services.
  • Maintain customer service, intake, daily operations and revenue cycle processes from beginning to end.
  • Review required documentation for accuracy.
  • Accurately process, verify, and/or submit documentation.
  • Complete insurance verification to determine patient eligibility, coverage, co‑insurances, and deductibles.
  • Obtain pre‑authorization when required and process physician orders to insurance carriers for approval.
  • Navigate multiple online EMR systems to obtain applicable documentation.
  • Enter and review all pertinent information in EMR systems, including authorizations and expiration dates.
  • Meet quality assurance requirements and key performance metrics.
  • Pay attention to detail and demonstrate strong organizational skills.
  • Listen actively to teams and region leaders; handle stressful situations with compassion and empathy.
  • Analyze data and reports to identify execution errors in workflow, troubleshoot and fix exceptions, and advise staff on corrections.
  • Collaborate with the Operations Team on exceptions and workflow solutions.
  • Communicate ongoing trends and process errors with insurance companies to operations teams and leadership.
  • Assist with various projects and tasks as needed for unique processes.
  • Participate in defining, documenting, and refining processes, procedures, and workflows based on industry and company best practices.
  • Create training materials and train client engagement and service teams.
  • Maintain patient confidentiality and comply with HIPAA guidelines.
  • Complete assigned compliance training and other educational programs.
  • Maintain compliance with Adapt Health’s Compliance Program.
  • Perform other related duties as assigned.
Competencies,

Skills and Abilities
  • Excellent communication skills, both verbal and written.
  • Ability to prioritize and manage multiple tasks.
  • Proficient computer skills with Microsoft Office.
  • Ability to learn new technologies and understand data flow through systems.
  • Knowledge of Medicare, Medicaid, and commercial health plan methodologies and documentation requirements preferred.
  • Work well independently and as part of a group.
  • Adaptable, flexible and proactive in a rapidly changing environment.
Requirements
  • High School Diploma or equivalent.
  • Three (3) years of work experience in healthcare administration, financial, insurance customer services, claims, billing, call center or management – any industry.

  • Work environment will be stressful at times and activities fluctuate.
  • Ability to bend, stoop, stretch, stand, and sit for extended periods.
  • Long periods of sitting and exposure to computer screen.
  • Repetitive wrist, hand, and finger motions due to extensive computer use.
  • Excellent communication skills; empathy, compassion, courtesy, and respect for privacy.
  • Mental alertness to perform the essential functions of the position.
