We currently have a vacancy for a Team Administrator within our Children's Speech and Language Therapy Service Admin Team at Bentilee Neighborhood Centre, Stoke-on-Trent.
Main duties of the job- Provide a full range of administrative duties as required by the Speech and Language Therapy Team.
- Manage and prioritise own workload to meet specific deadlines.
- Participate in the induction of new Admin Assistants.
- Answer the telephone as first point of access, dealing with queries to the service from parents and other professionals.
- Ensure confidential and efficient administration support, including typing and uploading documents onto Rio, and accessing LEA Hubs.
- Input onto electronic diaries for the Speech and Language Therapists.
- Process referrals and determine the appropriate professional to send on to, following established protocols.
- Make appointments for patients and carers.
- Input patient information into the electronic patient records system, update records, and book or change appointments.
- Provide support to other Admin Assistants in dealing with telephone enquiries.
- Exercise judgement when dealing with parent enquiries, including passing complaints to senior colleagues.
- Make bookings and cancellations for meeting rooms and training places.
- Raise purchase orders for goods and services and receive goods on the e‑procurement system.
- Contribute to the collection and inputting of data required to support service outcomes, maintaining and auditing spreadsheets.
Additionally, the post holder will maintain electronic diaries, manage phone and email enquiries, and provide general non‑clinical guidance to parents and other professionals. They will also assist with incident reporting, document design, and support the team in clinical audits.

Person Specification Qualifications- Good standard of general education including English at GCSE or equivalent level of qualification
- NVQ Level 3 Business Administration or Equivalent
- Evidence of further development/training
- Relevant experience in an administration support role, including dealing with telephone enquiries promptly
- Previous experience of data input
- Communication skills, verbal and written, with people from a variety of backgrounds
- Experience of using the Rio system
