Location: Stoke-on-Trent

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to greeting and directing patients, effective use of the appointment system, booking appointments, processing information and assisting patients as required. To act as the central point of contact for patients, distribute information and messages for the clinical team, liaise with multidisciplinary team members and external agencies such as secondary care and community service providers.

19.5 hours per week

Monday 08:00 - 18:00 (9.5)

Tuesday 08:00 - 18:30 (10)

Job responsibilities

Maintaining and monitoring the practice appointment system.

Processing personal, telephone and electronic requests for appointments.

Respecting patient privacy and handling sensitive information confidentially.

Answering incoming phone calls, transferring calls or dealing with callers' requests appropriately.

Signposting patients to the correct service.

Initiating contact with and responding to requests from patients, team members and external agencies.

Organising clinics for minor operations.

Alerting other team members to issues of quality and risk.

Assessing own performance and taking accountability for actions, either directly or under supervision.

Discussing how policies, standards and guidelines will affect own work with other team members.

Reporting any potential health & safety risks identified.

Contributing to the effectiveness of the team by reflecting on own and team activities and suggesting improvements.

Working effectively with individuals in other agencies to meet patients’ needs.

Managing own time, workload and resources effectively.

Reading code data on EMIS WEB.

Texting patients on Accurx as advised by line manager.

Calling patients for their annual recall.

Processing blood forms through ICE.

Entering Carer and Have a Care data into the system as appropriate.

Having an awareness of data entry to the Open Exeter system.

Photocopying documentation as required.

Performing data entry of new and temporary registrations and relevant patient information.

Inputting data into the patient’s healthcare records as necessary.

Directing requests for information such as SAR, insurance/solicitors letters and DVLA forms to the administrative team.

Checking NHS Net and Outlook emails daily and acting as required.

Care navigation to ensure patients are directed to the most appropriate service.

Managing all queries as necessary efficiently.

Maintaining a clean, tidy, effective working area at all times.

Monitoring and maintaining the reception area and notice boards.

Supporting all clinical staff/management with general tasks as requested.

Person Specification
  • Educated to GCSE level or equivalent
  • Experience of working with the general public
  • Experience of administrative duties
  • Excellent communication skills (written and oral)

  • Competent in the use of Office and Outlook
