Administration Assistant – Children Speech and Language Therapy Service
Location:
Bentilee Neighborhood Centre, Stoke-on-Trent. The role will support the Speech and Language Therapy Team with administrative duties including answering phone calls, booking appointments, managing electronic diaries, typing confidential clinic letters, processing referrals, creating patient resources and responding to general enquiries. The position requires self‑motivation, effective time management and strong communication skills. A good level of education (English & Maths GCSE level), NVQ Level 3 Business & Administration and ECDL/CLAIT IT qualification or equivalent experience are required.
responsibilities
- Provide full range of administrative support to the Speech and Language Therapy Team.
- Manage and prioritise own workload to meet deadlines.
- Answer telephone as first point of access and process messages in line with policies.
- Type confidential correspondence and upload documents onto Rio.
- Input and update patient information in the electronic patient records system.
- Process referrals and route to appropriate professionals following protocols.
- Schedule appointments for patients and carers, including electronic diary management.
- Support other admin assistants with telephone enquiries.
- Exercise judgement with parent enquiries and pass complaints to senior staff as required.
- Make bookings and cancellations for meeting rooms and training places.
- Raise purchase orders and receive goods/services via e‑procurement system.
- Maintain and audit spreadsheets and input data into workforce systems.
- Participate in clinical audits and support the team in quality improvement activities.
- Travel to and work from other bases if required.
- Good standard of general education, including English GCSE level or equivalent.
- NVQ Level 3 Business Administration or equivalent.
- Evidence of further data and ICT training.
- Relevant experience in an administration support role, including telephone enquiry handling.
- Previous experience of data input.
- Effective communication with diverse backgrounds.
- Experience using the Rio system.
The post requires a Disclosure and Barring Service check under the Rehabilitation of Offenders Act (Exceptions Order) 1975.
