About

The Role

We’re looking for a Specialist Equipment Centre Administrator to join our team in Stoke, providing vital administrative and coordination support across Selwood’s Specialist Equipment Centres throughout the UK.

This is a varied role where no two days are quite the same. You’ll work closely with our Project Delivery, Procurement, Logistics and Specialist Equipment teams, helping to keep projects organised, processes running smoothly and information accurate and up to date.

Key Responsibilities
  • Provide day‑to‑day administrative support and coordination support to the Specialist Equipment Centres and their teams across the UK.
  • Maintain accurate stock holding records, ensuring all documentation is up to date and compliant with internal processes.
  • Support project planning by checking stock levels and information through internal systems.
  • Work with the Specialist Assets & Logistics Director to maintain, review and improve departmental processes
  • Assist with the preparation, formatting, and distribution of process documentation.
  • Attend planning meetings acting as the link between Project Delivery and the Specialist Equipment Centres to support effective communication, coordination and project delivery.
  • Support procurement activities by liaising with suppliers, obtaining quotes, and maintaining procurement logs.
  • Assist with raising purchase orders, processing invoices, and tracking project costs.
  • Ensure commercial documentation is filed correctly and aligns with company procedures.
  • Ensure all project documentation meets Selwood’s quality standards and industry compliance requirements.
Essential

Qualifications and Experience

  • Previous experience in an administrative, coordination or project support role, ideally within an engineering, construction, utilities, logistics or other project-based environment.
  • Experience working with processes and procedures, with the ability to follow, maintain and identify opportunities to improve them.
  • Experience supporting logistics operations or project delivery teams.
  • Excellent organisational skills with the ability to manage multiple tasks and deadlines.
  • Excellent communication and interpersonal skills, with the confidence to work with different teams and stakeholders.
  • High attention to detail and accuracy.
  • Strong Microsoft Office skills, particularly Excel, with the ability to manage and analyse data, use formulas and functions.
  • Ability to work independently and as part of a collaborative team.
  • An understanding of SHEQ processes, quality standards or industry compliance requirements.
