DescriptionWe are currently recruiting for a permanent Front of House Administrator to join our team based in Stratford-upon-Avon. The Front of House Administrator will be committed to providing exceptional office and administration support. A motivated and enthusiastic self-starter with the ability to co-ordinate and prioritise tasks, the ideal candidate will confidently manage reception, facilities, fleet, health and safety, travel and business support activities whilst delivering excellent customer service.
Develop and maintain effective working relationships with colleagues, contractors, suppliers and external stakeholders.
- Work on the Reception desk as first port of call for any external visitors, staff, and deliveries
- Scan incoming post to relevant departments and take any out going post to the post office.
- Manage the company’s stationery requirements and replenish and keep tidy the stock cupboard.
- Book hire cars, taxis and couriers.
- Manage the Office facilities and ensure a tidy and safe working environment.
- Conduct new starter inductions and regular Health and Safety checks plus assist with ISO audits.
- Coordinate servicing, maintenance and contractor activities.
- Obtain quotes and insurance documentation from contractors.
- Manage reactive repairs, facilities projects, meeting rooms, catering, off-site venue bookings and travel arrangements.
- Maintain fleet records, licence checks, Asset Go records, vehicle inspections, accidents, mileage reporting, company car orders, returns and grey fleet compliance documentation.
- Coordinate training, PPE, PAT testing, accident reporting, inspections, action trackers, defibrillator maintenance and monthly H&S reporting.
- Provide ad hoc administration support, invoice approvals, environmental reporting, ISO records, waste transfer notes and support to departments across the business.
- Deliver excellent customer service, on the telephone, email and in person
- Develop an understanding of operational activities within Valpak to be able to assist different departments and visitors
- Previous experience in a receptionist or administration role
- Capability to multitask, prioritise and manage own workload
- Able to work well under pressure
- An outstanding eye for detail with a drive to provide exceptional administration support
- Customer focused with strong communication skills
- Customer focused with drive to provide the highest level of customer satisfaction
- Able to pick up new skills and knowledge quickly and learn and develop in an ever-changing company
- IT literate:
Word, Excel and Access
- Educated to a minimum of A Level or equivalent
- Full UK Driving Licence
