The OpportunityWe are currently seeking a detail-oriented and organized Accounting & Administrative Coordinator to join our team in Sudbury, Ontario. This role is ideal for someone who enjoys a diverse workload, balancing accounting, administration, and operational support in a fast-paced construction environment. Working closely with both our office and field teams, you will play a key role in supporting day-to-day financial processes, employee administration, and office operations while helping ensure projects and business activities run smoothly.
YourDay-to-Day Accounting & Job Costing
- Process accounts receivable and accounts payable, ensuring all invoices have proper backup (tickets, timesheets, purchase orders, job cost coding, etc.)
- Prepare and issue customer invoices for both time & materials (T&M) and progress billings, ensuring accuracy of quantities, rates, holdbacks and job-specific coding
- Assist with job costing by reviewing timesheets, equipment hours, material slips, subcontractor invoices, and other cost inputs
- Process invoices and reconcile vendor statements; investigate discrepancies, missing invoices, credits, or pricing issues
- Monitor customer accounts, follow up on outstanding receivables, and support collections communication when required
- Support monthly and year-end accounting workflows by organizing documentation and maintaining accurate records
- Oversee employee onboarding, including preparing documents, collecting certifications, and setting up digital employee files
- Ensure timesheets are submitted, coded correctly (jobs, phases, cost types), and aligned with project requirements
- Maintain employee records, training documentation, certifications, and HR-related files
- Respond to internal inquiries regarding timesheets, documentation, or administrative policies
- Support payroll processing by verifying hours and approvals (note: not responsible for running payroll)
- Provide general administrative support to field and office staff
- Answer phones, greet visitors, and support customer inquiries as required
- Maintain office supplies, coordinate equipment calibration/renewals, and manage general office upkeep
- Assist with employee communications, seasonal events, and recognition
- Support Health & Safety administration, including maintaining training records, safety documentation, and ensuring PPE availability
- Ensure compliance with internal financial controls, corporate policies, and regulatory requirements
- Perform other related duties as assigned to support the team

Required:
- Valid G class driver’s license and mode of transportation
- Strong commitment to safety and teamwork
- Post secondary diploma or equivalent in Accounting, Business or Finance is considered an asset
- Prior experience in office administration is considered an asset
- Understanding of privacy and confidentiality measures
- Strong knowledge of accounting principles and/or bookkeeping roles
- Excellent analytical, financial, and mathematical abilities
Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external individuals - Accuracy and attention to detail
- Excellent Problem solving and time management skills
Proficiency with various computer programs, including Microsoft Office & accounting systems - Strong organizational skills and an ability to work alone or with others within the company
- Ability to adapt to last-minute changes
- Ability to work under pressure and meet deadlines while maintaining a positive attitude
- Occasional lifting and carrying files, documents or small office items weighing up to 10 pounds
- Pay: $50,000 - $60,000 / per year

The pay range posted reflects base compensation only. Starting pay is based on skills, experience, and qualifications. Benefits and other incentives are offered separately.
