Responsibilities- Greet and attend to clients in person and over the phone.
- Professionally assist providers, staff, visitors, and clients.
- Check clients in and out of appointments.
- Maintain clinic inventory, including supplies and equipment.
- Ensure adequate stock levels and place orders timely.
- Answer all phone calls and emails in a professional and courteous manner.
- Perform all duties in accordance with HIPAA, OSHA, and company policies.
- Mail, ship, sort, and distribute mail.
- Assist clients and patients with completing necessary forms.
- Enter and maintain electronic medical records and files.
- Maintain confidentiality of all provider, staff, and client information.
- Schedule appointments between providers and clients.
- Liaise with staff with discretion and professionalism.
- Adhere to policies and procedures during all activities.
- Assist with admissions, check‑in, checkout, and treatment of clients per protocols.
- Communicate medical results and/or issues to clients under clinical supervision.
- Process and complete accurate records of the client visit within the required timeframe.
- Ensure all necessary paperwork is entered correctly during check‑in.
- Confirm all required testing is completed by the patient’s departure.
- Scan, fax, or email results and attachments to clients.
- Follow DOT and MRO protocols to ensure compliance.
- May be required to travel to different PRIME locations.
- Must have reliable transportation.
- May be required to work overtime and holidays.
- Perform other duties as assigned.
- 2+ years of experience at a healthcare facility in a medical receptionist or medical assistant role (essential).
- Working knowledge of medical terminology, HIPAA regulations, and medical coding (highly advantageous).
- Knowledge of Systoc.
- Strong communication skills, both verbal and written.
- Innovative thinker with strong conceptual and problem‑solving skills.
- Meticulous attention to detail with the ability to multitask.
- Strong organizational, administrative, and planning skills.
- Self‑motivated and able to work under pressure.
- Ability to use discretion with sensitive information.
- Excellent documentation, communication, and IT skills.
- Passionate about healthcare excellence.
Sitting or standing for prolonged periods; lifting, carrying, pushing, pulling objects up to 50 pounds; repetitive motion; extensive computer and keyboard use; kneeling, bending, working overhead; close visual acuity required for data analysis, transcribing, and computer work; operating standard office equipment; occasional driving for material delivery; occasional stair climbing.
