Position Summary

The Accounts Payable Specialist is responsible for overseeing the accounts payable/billing and reconciliation processes and for providing administrative support for the accounting teams at Tarragon Property Services. This position works in conjunction with the Tarragon Property Services Accountants to support multiple operating and holding companies. Duties include processing vendor invoices, coding and payments, creating internal billings and other accounting activities.

Essential Duties and Responsibilities
  • Managing accounts payable for multiple entities and vendors in Yardi and Avid.
  • Review and record invoices: organizing and prioritizing invoices for payment, coding invoices accurately, resolving discrepancies, reviewing vendor statements for accuracy and completeness.
  • Ensure compliance with automated and manual workflows and approvals; assign correct workflow, ensure timely approval, document and address mistakes.
  • Establish and maintain relationships with vendors/suppliers; assist vendors with system setup, maintain accurate vendor data and collect W-9 forms.
  • Investigate and resolve problems associated with processing invoices and maintain good account standing with vendors.
  • Ensure bills are paid in a timely and accurate manner adhering to departmental procedures; process payments via checks, wire, transfers, ACH, recurring payments and assist with month‑end close.
  • File, maintain, and distribute accounting documents, records and reports.
  • Reconcile credit cards to expense, prepare/create internal billbacks to other entities.
  • Monitor all vendor payment agreements to find discounts that can be used to reduce invoice amounts.
  • Pay sales tax on appropriate invoices and note tax payments made.
  • Track credits owed to the company and apply them properly to vendor payments.
  • Review and follow up on outstanding checks for entities, including creating void requests, stop‑payment requests and reporting for unclaimed property.
  • Manage AP refunds and follow up with accountants and vendors for timely resolution.
  • Other duties as assigned.
Education and Experience
  • 1-3 years of general accounting experience.
  • Experience with accounts payable and accounting software;
    Yardi and Avid experience preferred.
  • High school diploma or equivalent; associate’s degree in accounting or business field preferred.
  • Experience with Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written skills with high attention to detail.
  • Able to prioritize workload, multi‑task, and work under pressure in a fast‑paced environment.
  • Able to consistently meet all deadlines.
  • Good problem‑solving and critical thinking skills.
  • Able to be patient and manage stress.
  • Experience in property management a plus.
  • Excellent interpersonal skills and ability to interact with a multitude of different work styles.
