We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide high-level support for the President/CEO. The ideal candidate is a critical thinker with excellent communication skills who maintains confidentiality with discretion, anticipates needs, and effectively manages competing priorities. This role is 100% in office.
Job Responsibilities- Manage complex calendars, schedule meetings, and coordinate appointments and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Act as a gatekeeper and liaison for the President/CEO, screening calls, managing email communications and prioritizing requests.
- Monitor and manage incoming requests for speaking engagements, sponsor ships, or community partnerships.
- Assist in the preparation of reports, board materials, and other confidential documents.
- Coordinate logistics for internal and external meetings and events, including catering, venue booking, and technology setup.
- Maintain and reconcile corporate credit card statements and expense reports.
- Sort and distribute mail, respond, get approval, execute documents for President/CEO.
- Support personal tasks and other duties as requested.
- High school diploma or GED required; minimum of 5 years of relevant work experience.
- Proven ability to communicate professionally and effectively with all levels of an organization, including senior leadership.
- Demonstrated discretion and integrity in handling sensitive and confidential information.
- Exceptional written and verbal communication skills.
- Strong organizational and multitasking abilities with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to work independently and under pressure with minimal supervision.
- Flexible schedule as support may be needed outside of normal business hours.
