An excellent opportunity for an organised and customer-focused Administrator / Receptionist to join the company on a temporary maternity‑cover contract, supporting a busy clinical team with front‑of‑house duties, appointment booking and day‑to‑day administration.

JOB TYPE: Full‑Time, Contract (Maternity Cover)
JOB OVERVIEWThe role of Administrator / Receptionist would suit someone who enjoys working with people, staying organised and providing reliable administrative support in a busy service environment.
In this position you will be a key point of contact for service users, helping with face‑to‑face enquiries, telephone calls, appointment bookings and a wide range of administration duties. You will also support clinical staff when required, keep records and patient details up to date, prepare clinics, process paperwork and help ensure the smooth running of front office and administration functions.
DUTIES- Appointment Booking: Book patient appointments for all departments face‑to‑face and by telephone
- Telephone Support: Answer and make telephone calls in a professional and helpful manner
- Order Administration: Raise and issue restock orders and support order processing for relevant departments
- Clinic Preparation: Prepare clinics and take control of clinic lists during a fire or emergency
- Records and Filing: File notes, return notes to medical records and keep patient details up to date
- Referral Registration: Register referrals and ensure paperwork is recorded and processed in line with procedures
- Mailbox Management: Check and action mailboxes, responding to administration tasks promptly
- Front Office Support: Cover reception and front office duties when required
- Clinical Team Support: Support clinical staff when required, including chaperoning where appropriate
- General Administration: Take meeting minutes, post goods, support stock takes and complete other administrative duties as directed
- Previous customer service experience and experience dealing with the public
- Good telephone manner with clear and professional communication skills
- Able to multitask and work well under pressure
- Reliable, time efficient and organised
- Excellent attention to detail
- Able to follow set procedures and keep accurate records
