Position: Customer Service Coordinator / Rental Car Clerk

About the Job

Dealership in the West Valley is seeking a self-motivated, enthusiastic, and hardworking person to fill this role.

Looking for an experienced Service Receptionist & Warranty Admin Assistant.

Qualifications
  • Applicants must be familiar with the multi-line phone system.
  • Organized with the ability to multitask.
  • Windows proficient (Word, Excel, Power point)
  • Flexible and full-time.
  • Demonstrate the capacity to function in a team environment or individually.
  • Have excellent customer service skills.
  • Work well under pressure
  • Must maintain a professional appearance and a neat, organized work area.
  • Spanish Speaker preferred not required
Responsibilities
  • Processes warranty claims and all paperwork to ensure proper documentation on a timely basis.
  • Verifies criteria required by factory or distributor.
  • Reconciles all warranty receivables with payments through the appropriate accounting schedule.
  • Posts credits on computer.
  • Resubmit all rejected claims promptly or receive authorization to write them off.
  • Follows up on payment of outstanding claims.
  • Tracks warranty parts by tagging with repair order number, date of replacement, and date on which part may be disposed of.
  • Files and maintains all service records as required by the warrantor.
  • Keeps informed of all factory recalls and bulletins.
  • Assists with body shop warranty claims as needed.
  • Assists with the cashier and telephone duties as needed.
  • Assists with any clerical needs as directed by the fixed operations manager or the controller.
  • Inbound & Outbound Service Department Phone calls
  • Check-in / Out Service Rental Cars & Manage Service Rental Fleet
  • Manage Customer Vehicle Pickup & Delivery Schedule
  • Manage Scheduling & Dispatching Mobil Van
Requirements
  • Applicants must be 18 years (or older).
  • Maintains a professional appearance and a neat work area.
  • Other tasks as assigned.
  • Must be a team player
