Payroll & Benefits Specialist Responsibilities

The Payroll & Benefits Specialist is responsible for supporting the accurate, timely and compliant delivery of bi-monthly payroll for employees across Canada. The role will provide end-to-end payroll administration, benefits support, payroll reconciliations and general people administration. It will work closely with employees, managers, HR, Finance and external payroll providers to ensure employee information is accurate and payroll activities are completed within agreed deadlines.

The role will also support payroll & benefit projects, system improvements and testing, and may provide cover for other international payrolls during periods of annual leave, absence or increased workload.

What You’ll Do Payroll Processing
  • Process end-to-end payroll for salaried, hourly and contract employees across Canada.
  • Coordinate and process payroll inputs
  • Review and validate payroll inputs to ensure accuracy, completeness and compliance with internal controls and applicable Canadian legislation.
  • Complete pre-payroll and post-payroll checks, identifying and resolving discrepancies before payroll is finalised.
  • Work with the payroll provider to ensure payroll is processed accurately and within the agreed payroll calendar.
  • Support off-cycle and final payments where required.
  • Respond to employee payroll queries accurately, professionally and within agreed service levels.
  • Maintain payroll inboxes and ensure queries and actions are tracked through to completion.
  • Work closely with Finance to resolve payroll accounting queries and reconciliation differences.
  • Maintain clear supporting documentation and audit trails for all payroll activities.
  • Support internal and external payroll audits by providing accurate records and evidence.
  • Provide cover and administrative support for other international payrolls during periods of annual leave, absence or increased workload.
  • Complete cross-training on additional country payroll processes to support business continuity.
Statutory and Year-End Payroll Activities
  • Support Canadian statutory payroll activities, including:
    • Records of Employment
    • T4 preparation and reconciliation
    • RRSP deductions and contributions
    • Provincial payroll requirements
  • Support payroll year-end activities and ensure required information is accurate and submitted within statutory deadlines.
  • Monitor payroll legislative updates and support any required system or process changes.
Benefits Administration, Reconciliation & Reporting
  • Support the administration of Canadian employee benefits, including enrolments, changes and terminations.
  • Process and reconcile payroll deductions and employer contributions relating to benefits and retirement plans.
  • Support the administration of RRSP contributions and other applicable benefit arrangements.
  • Liaise with benefit providers, employees and internal stakeholders to resolve benefit-related queries.
  • Ensure benefit changes are reflected accurately in payroll and employee records.
Additional Responsibilities
  • Ensure employee data is accurate and consistent across payroll, HR and benefit systems.
  • Support employee onboarding and offboarding administration where appropriate
  • Assist with general employee and manager queries relating to payroll, benefits and people processes.
  • Maintain strong payroll controls and ensure payroll processes are completed in accordance with company policies and approval requirements.
  • Support payroll and/or benefit related projects and other business initiatives as required.
  • Identify opportunities to improve payroll accuracy, controls, efficiency and employee experience.
What You’ll Bring
  • At least five years of payroll experience, including strong experience processing Canadian payroll.
  • Practical knowledge of Canadian payroll legislation, statutory deductions and provincial payroll requirements.
