Executive Assistant to Vice President Operations

Job location:

Hybrid with requirement to travel to across network of facilities in Ontario on an as needed basis

Hours:

40 hours per week with flexibility to work across multiple time zones

Employment type:

Full-time Permanent

Salary: $75,000 - $80,000 to start

Job Summary

Aurora Cannabis is currently recruiting an Executive Assistant to support the Vice President, Canadian Operations and the Vice President, Quality. The successful candidate will be responsible for a variety of administrative, clerical, and financial tasks.

The ideal candidate will have skill in working as an executive assistant in a fast‑paced and dynamic industry and be comfortable working across multiple locations and time zones. The successful candidate will be highly organized, possess strong decision‑making skills, proven ability to establish priorities, exceptional interpersonal skills, polished communication skills, and the ability to exercise good independent judgment.

The Executive Assistant is experienced working with all levels of an organization, communicating with sensitive stakeholders, and maintaining professionalism and utmost confidentiality.

Responsibilities
  • Maintain a close working relationship with other departments within the company.
  • Serve as the primary point of contact for internal and external stakeholders on business matters.
  • Prepare agendas, attend meetings, schedule and take minutes at internal and external meetings as requested.
  • Prepare and submit expense reports.
  • Handle and prepare all aspects of confidential and sensitive documents, ensuring critical timelines are met; collect, consolidate information, and schedule.
  • Compose, review, and follow through on internal and external communication with a commitment to accuracy and attention to detail.
  • Assist with internal and external communication efforts; organize and coordinate special events and projects.
  • Proactively coordinate the Vice Presidents' daily calendar and scheduling of appointments.
  • Communicate information and instructions to staff, team, and outside agencies/individuals as required.
  • Coordinate travel arrangements (accommodation, flights, vehicles, etc.) as requested.
  • Support the Vice Presidents to ensure the smooth flow of information and activities in a multifaceted operation with ever‑changing priorities.
  • Oversee the email of the Vice Presidents as required, handle sensitive information appropriately, and use good judgment in problem solving.
  • Contribute to related projects and research as required.
  • Provide on‑site support when VPs are on site.
  • Assist the Vice Presidents' direct reports as required.

Commitments and engagements may extend beyond regular office hours, and although this role generally does not require attendance at such events or significant overtime, there are times when it will be necessary to provide support beyond regular office hours across multiple time zones around Canada and across the world.

Qualifications
  • Proficiency in the use of Microsoft Office applications – Word, Excel, PowerPoint.
  • Strong technical skills with Google Apps for Business, Google Workspace, and MS Office. Familiarity with related tools is an asset.
  • Ability to act with minimal supervision, discretion, maturity, and absolute confidentiality.
  • Ability to work under tight timelines and balance multiple and varied projects simultaneously.
  • Thorough knowledge of corporate communications, spelling, grammar, and basic accounting.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Ability to inspire trust and confidence in relationships with others; ability to exercise diplomacy when dealing with customers and provide leadership, organizational, and decision‑making skills.
  • A minimum of 5 years’ experience supporting senior leadership in an executive assistant capacity.
  • Experience with in a public company, preferably in a large organization is an asset.
  • University Degree, College Diploma, or Certificate in Business, Office Administration, or related education is an asset.
  • Bilingualism (French and English) is an asset.
