Surrey Police Service (SPS) has an exciting opportunity for a Regular Full-Time Facilities Clerk (Clerk
3) to join our Business & Infrastructure Services Section, within the Corporate Services Bureau. Reporting to the Facilities Manager, the incumbent will provide administrative and operational support for a variety of facilities functions, including processing maintenance and repair requests, coordinating service calls, maintaining facilities records, and assisting with the scheduling and tracking of facilities-related work. The Facilities Clerk will prepare correspondence, reports, and other documentation, maintain accurate files and databases, liaise with internal stakeholders and external vendors, and help ensure the efficient delivery of facilities services.
The successful candidate will exercise sound judgment, demonstrate strong organizational skills, and work effectively within established policies, procedures, and service standards.
The anticipated work schedule for the base full-time position is 35 hours a week. Please note, the hours are subject to change based on operational needs and adherence to the Collective Agreement.
RESPONSIBILITIES- Prepares, formats, and maintains a variety of facilities-related correspondence, reports, work orders, records, spreadsheets, and other documentation.
- Receives, processes, and tracks facilities maintenance and repair requests, ensuring requests are accurately documented and routed for action.
- Maintains accurate records, files, inventories, floor plans, service logs, schedules, and other facilities-related information in both electronic and hard copy formats.
- Assists with scheduling maintenance, inspections, preventative maintenance activities, contractor visits, and service appointments.
- Liaises with internal staff, external vendors, contractors, and service providers to coordinate facilities-related services and follow up on outstanding requests.
- Monitors and updates facilities databases and tracking systems to ensure records are current, complete, and accurate.
- Responds to inquiries from staff and external stakeholders regarding facilities requests, procedures, and services, escalating issues as appropriate.
- Assists with purchasing and inventory control for facilities supplies, equipment, and materials, including maintaining inventory records and processing related documentation.
- Operates a variety of office equipment and utilizes applicable software applications and facilities management systems.
- Provides administrative support to the Facilities team, including preparing meeting materials, maintaining calendars, and assisting with special projects as assigned.
- Assists other staff with departmental functions as required.
- Performs related duties as assigned.
- Completion of Grade 12, supplemented by several courses in word processing, office practices and computer applications.
- Minimum two years experience and training in an office environment.
- Must have accurate typing speed of 40 wpm.
- This position requires both SPS Security Clearance and RCMP Reliability Status. All applicants must obtain and maintain the required police security clearance throughout their employment with SPS, which includes a mandatory polygraph examination.
