Location: This opportunity can be hybrid in the Vancouver, BC Lower Mainland. Our head office is in Surrey, BC.

Compensation: Annual base salary: $53,200 - $60,200 CAD, plus eligibility for a profit-sharing bonus. This salary range reflects our reasonable estimate for the role. Final compensation may vary based on your experience, qualifications, and other relevant factors.

Trade Show & Event Administrator

As a member of Safe Software’s Marketing team, you’ll help deliver a wide variety of events, including international conferences and trade shows, user meetups such as our FME Breakfast of Champions series, and internal corporate initiatives. You’ll coordinate logistics, track inventory, prepare documentation, and support communication with vendors and internal stakeholders.

Your contributions ensure every event runs smoothly, while helping the team scale operations and stay focused on strategic goals. You’ll gain hands-on experience in event coordination, shipping and inventory management, and cross-functional collaboration with teams such as Creative Services, Product Marketing, and Customer Success.

What You’ll Be Doing

As a Trade Show & Event Assistant / Administrator, you will:

  • Coordinate logistics such as shipping, AV setup, booth materials, furniture, and on-site needs.
  • Track tasks and deadlines using event portals and internal tools.
  • Communicate with vendors, venues, and internal teams to ensure timelines are met.
  • Prepare quotes, invoices, approvals, and packing lists for events.
  • Pack and ship marketing kits, swag, and materials.
  • Maintain and organize inventory of promotional items, printed materials, and branded apparel.
  • Support Breakfast of Champions logistics, including venue research, catering, and materials
  • Assist with attendee communications, registration links, and on-site prep.
  • Help clean and process event data such as lead follow-up and CRM updates.
  • Provide general support across the Marketing team for event-related tasks.
  • Assist Event Coordinator & Team Lead with internal User Conferences as needed
Qualifications, Skills, and Competencies

  • Familiar with digital tools such as spreadsheets, shared drives, and Slack.
  • Able to work on site approximately two days per week for packing and event preparation.

Nice to Have:

  • Experience with event logistics, shipping coordination, or inventory management.
  • Familiarity with vendor communication, budget tracking, or event portals.
  • Interest in branding, events, or marketing operations.
