Office Administrator/ Coordinator
Location: Birmingham
Hybrid Working: 3 days in office, 2 days from home
Holiday: 33 days incl. bank holidays
Our client is seeking an experienced IFA Administrator to join their established financial planning team in Birmingham. This is a fantastic opportunity for someone who enjoys working in a busy, collaborative environment and wants to play a key role in supporting advisers and the wider operations function.
This role is ideal for someone who thrives in a financial services administrative position and is looking for long‑term stability, with opportunities for professional development across the group.
Role Overview
You will provide essential administrative support to the Financial Advisers and the Operations Manager, ensuring clients receive a smooth, efficient and compliant service.
Key Responsibilities
- Preparing valuations and documentation for annual client reviews
- Updating and maintaining client records on Intelligent Office
- Supporting advisers by collating documents and preparing meeting packs
- Drafting annual suitability letters for existing clients
- Processing new business, monitoring transactions and issuing documentation
- Ensuring all work meets compliance standards and internal procedures
- Assisting with ad‑hoc administrative projects
- Working closely with the wider admin and support teams
Person Specification
Experience & Knowledge
- Minimum 2 years’ experience within an IFA or financial planning environment
- Strong IT skills and confidence learning new systems
- Experience working in a fast‑paced office environment
- Ability to work independently and manage your own workload
Personal Skills
- Strong organisational skills and attention to detail
- Ability to prioritise effectively and escalate issues when needed
- Reliable, proactive and professional
