The Administration Assistant is a key role in our Minworth Distribution Centre (DC). The role will contribute to the success of Minworth DC by maintaining a high level of administrative support and delivering a great level of customer service. Ensure processes are carried out in accordance with site procedures and all tasks are accurately recorded, reported and completed.
How you will contribute- Process all Proof of Deliveries in a timely manner including any customer claims and disputes. Liaise directly with our haulier provider on any failed or rebooked deliveries. All returned stock to be managed in conjunction with the Stock team, including accurate records and reporting.
- Maintain a site service target of 99.85%. This includes daily root cause analysis and investigation on all failures/cross‑offs. The appropriate coding to be actioned on both Sharepoint and SAP.
- Responsible for weekly payroll processing for both Mondelez and agency warehouse staff. Reports include weekly Quicks and absence reports. All payroll queries to be dealt with in a timely fashion.
- Accountable for the International Inbound schedule for the DC. Plan slots around the warehouse capability regarding rework and general availability.
- Process WIP requests with an eye on BBE dates for both Bournville and all relevant co‑packers, including international customers.
- Procure all site services and products, from stationery to uniforms to CBRE spend. Purchase services on behalf of the central logistics team (e.g., Ireland/2XL).
- Reconcile and bank the staff shop monies.
- Daily scan all load sheets and store them on the central shared drive.
- Participate in any community or team initiatives, meeting a site target of 30%. Support local charities and foodbanks; take part in boost ideas.
- Collate data and prepare reports for use within the weekly admin and stock team review meeting and for the network.
- Ability to demonstrate a high level of attention to detail.
- Proven ability to manage your own time to achieve daily targets.
- A team player capable of working on your own initiative.
- Excellent communication and problem‑solving skills.
- Good knowledge of Microsoft Office, particularly Excel.
- Knowledge of systems such as SAP, Kronos, Autostore, Inet would be appreciated.
- Ability to perform repetitive work in a fast‑paced environment and be capable of defined physical activities (lifting, bending, carrying, pushing, pulling, etc.).
