    High school diploma or equivalent required. Bachelor's degree in related field preferred.

    Three years in an office/clerical environment required. Experience in an early learning educational setting preferred.

    strong editing and proofreading skills; strong bookkeeping/accounting skills; ability to represent Gwinnett County Public Schools (GCPS) in a positive and professional manner; strong technology skills and demonstrated knowledge in up-to-date computer software and programs, including Microsoft Office, Lotus Notes, People Soft, G-Suite; skills in typing, word processing, spreadsheets, flyers, newsletters and graphics; ability to utilize social media; ability to prepare reports and draft professional business correspondence;

Primary Responsibilities
  • Perform administrative duties for the Early Learning and School Readiness Office.
  • a. Align priorities with those of supervisor.
  • b. Manage concurrent tasks effectively and ensure that priorities are completed accurately by established deadlines.
  • c. Manage large projects and concurrent tasks effectively to ensure priorities are completed by designated deadline.
  • d. Assist with the coordination of program office initiatives and record keeping.
  • e. Serve as the program office representative for various department, division, and/or district functions.
  • f. Assist with creation and distribution of materials.
  • 2. Develop and maintain an effective operating partnership with supervisor.
  • a. Collaborate with supervisor on supervisor's schedule to ensure deadlines are met effectively.
  • b. Anticipate and effectively support supervisor's job related needs.
  • c. Maximize supervisor's time by organizing supervisor's incoming and outgoing materials effectively.
  • d. Handle routine matters while supervisor is out of the office.
  • e. Help supervisor cultivate a responsive, customer centered climate.
  • f. Represent supervisor in professional manner with internal and external contacts.
  • 3. Perform clerical duties for the Early Learning and School Readiness Office.
  • a. Maintain an effective and efficiently run office.
  • b. Apply software and technology appropriately to produce quality documents and materials.
  • c. Maintain an appropriate production rate and streamline routine tasks to manage time effectively.
  • d. Efficiently organize work area and work in progress, to include testing materials, school test request processes, and community resources.
  • e. Maintain records and files related to program initiatives.
  • f. Collaborate with supervisor to develop efficient processes and communications between Early Learning and School Readiness Office and external groups.
  • g. Generate reports to provide data for department programs.
  • 4. Perform financial and accounting duties for the Early Learning and School Readiness Office.
  • a. Prepare and maintain accurate and timely payroll/financial records and reports.
  • b. Assist in monitoring monthly budget print outs and submit balance for each line item to supervisor on a monthly basis.
  • c. Assist in reconciling monthly purchase card statement and submit documents for each line item to supervisor on a monthly basis.
  • d. Assist with budget amendments and travel requests and review for accuracy.
  • e. Assist in preparing annual budgets.
  • f. Utilize district process and application for procurement of department supplies and materials.
  • g. Submit miscellaneous payroll as needed.
  • 5. Communicate with other people in a businesslike, courteous, and efficient manner.
  • a. Cooperate with and maintain a positive relationship with division, department, and program office staff and with all other school system employees.
  • b. Support supervisor by being knowledgeable of department programs, procedures, and information needed to assist in program office functions.
  • 6. Establish effective public relations.
  • a. Represent the division, department, and program office professionally in all aspects of communication.
