The Medical Group is a system‑led entity delivering high‑quality, low‑cost ambulatory care across Massachusetts, New Hampshire, and Maine. The OB/GYN office at 383 Paradise Rd, Swampscott, MA provides primary and specialty care, including minimally invasive procedures.
Perform both administrative and clinical functions to support smooth and efficient clinic operations. Duties include clerical work, patient scheduling, billing, and system support, with general supervision.
Essential Functions- Make patient appointments and maintain appointment records.
- Greet and assist patients.
- Answer telephones, assist callers with routine inquiries, and schedule appointments.
- File materials in patient folders and print appointment schedules.
- Process patient billing forms and scan documents to patient medical records/LMR.
- Call for patient medical records and laboratory test results.
- Open and distribute unit mail or faxes.
- Type forms, records, schedules, memos, etc., as directed.
- Accept co‑payments, when required.
- Handle, screen, and take messages related to prior authorizations, provider questions, prescription refills, and test results.
- Act as "Super User" for scheduling, registration, and billing systems.
- Provide assistance and training to others in these areas.
- May perform more complex or specialized functions (e.g., surgical scheduling and schedule changes) at a more advanced competency level.
- High School Diploma or Equivalent required.
- CMAA (Certified Medical Administrative Assistant) preferred; experience in lieu of a degree is not accepted.
- 2–3 years of office experience.
- Proficiency with Office Suite and all office operations (filing, copying, scanning, printing, faxing).
- Ability to use phone system and manage non‑routine calls, solving routine issues as appropriate.
- Excellent written and verbal communication skills, including composing/editing e‑mail, memos, and letters.
- Strong time‑management and organizational skills with the ability to manage multiple tasks and follow established protocols.
- 2 years of experience working in a community‑based medical practice.
- Epic experience preferred.
