Position: Administrative Assistant (Swansea, IL)

The Role: Archford is seeking an Administrative Assistant to provide front‑office leadership and administrative support that ensures an exceptional client experience. This role is responsible for keeping daily operations running smoothly, coordinating client interactions, and assisting the team with essential administrative tasks. The ideal candidate is professional, highly organized, and comfortable balancing client‑facing responsibilities with internal support.

Key Responsibilities Office Coordination
  • Serve as the first point of contact for clients and visitors, answering phones and greeting guests with professionalism and courtesy.
  • Prepare conference rooms for client and internal meetings.
  • Oversee daily office operations including mail processing, supply ordering, and vendor coordination.
  • Maintain a clean, organized, and professional office environment that reflects Archford’s client‑first culture.
Client Services & Team Support
  • Assist clients with document submissions, account‑related inquiries, and general requests.
  • Provide administrative support to include contacting clients, scheduling meetings, processing mail, and preparing documents for signature, pick‑up, or delivery.
  • Prepare and distribute internal reports.
  • Collaborate with team members to deliver timely, accurate, and exceptional client service.
Operation & Process Management
  • Manage administrative email inboxes and ensure accurate and timely responses.
  • Maintain organized electronic and paper records in compliance with firm standards.
  • Coordinate, monitor, and document workflows and processes to support operational efficiency.
  • Identify opportunities to improve administrative workflows and client experience.
What We’re Looking For
  • Associate’s degree or equivalent combination of education and experience required.
  • Strong written and verbal communication skills to engage with clients and team members effectively.
  • Proficiency with Microsoft Office 365 and the ability and willingness to learn technical software systems including Salesforce, Quick Books, secure file exchange software, client account software, and proprietary software.
  • Highly organized, detail‑oriented, and able to manage multiple tasks with accuracy under deadlines.
  • Professional, proactive, and dependable, with a strong commitment to client service.
  • Ability to work in the office Monday–Friday during regular business hours.

Salary Range: $20.00 – $25.00 per hour
