Veterinary Medical Receptionist (CSR)

Position at Bay State Veterinary Emergency and Specialty Services (BSVESS). This busy veterinary emergency and specialty hospital is seeking a highly organized and experienced receptionist to join our team. The ideal candidate should have previous experience working in emergency and specialty veterinary medicine and must be able to thrive in a fast‑paced, high‑pressure environment. The successful candidate will play a vital role in ensuring the smooth operation of our hospital by efficiently managing client inquiries and facilitating communication between our medical staff and clients.

Essential Functions and Responsibilities
  • Greet clients and their pets with a warm and welcoming demeanor, ensuring their comfort and satisfaction throughout their visit
  • Manage incoming phone calls and inquiries in a professional and courteous manner, providing accurate information and scheduling appointments as needed
  • Process client payments and maintain accurate financial records, including billing, invoicing, and insurance claims
  • Schedule appointments, record keeping and organization, provide estimates and invoices for payment
  • Coordinate patient intake and discharge, ensuring proper documentation and communication with medical staff and clients
  • Maintain accurate medical records using our hospital's electronic medical records system
  • Facilitate communication between clients and medical staff, ensuring timely response to inquiries and relaying important information to the appropriate parties
  • Maintain a clean and organized reception area, ensuring all necessary supplies are stocked and readily available
  • Ability to work collaboratively and effectively with different departments within the hospital, including medical staff, technicians, and other administrative staff
Qualifications
  • 1–3 years' experience in an emergency or specialty veterinary hospital is preferred (e.g., technician, liaison, customer service)
  • Professional, pleasant, engaged, clear communicator who is attentive and respectful to referring veterinarians, clients, and co‑workers
  • Must be able to balance multiple tasks, be confident, and prioritize tasks appropriately in a high‑pace setting
  • Computer experience (Word, Excel) and operation of office equipment such as fax machine, copy machine, credit card and check terminal, and postage meter
  • Related veterinary software and Care Credit knowledge preferred
  • Must possess basic math skills to determine proper deposits and process payments

BSVESS is located in Swansea, MA with a sister facility in East Greenwich, RI. BSVESS is a 35,000 sf building with a very busy emergency service and a growing specialty hospital with specialists in emergency/critical care, internal medicine, surgery, medical oncology, and radiation oncology. Specialized equipment includes telemetry, endoscopy, CT scanner, ultrasound, and more.
