Office Administrator/ Coordinator
JDR Recruitment is recruiting an experienced Part-Time Project & Operations Coordinator on behalf of an established manufacturing and engineering business based in Swansea.
This is a varied, office-based role supporting the Operations Manager with the day-to-day organisation of customer projects, deliveries and site teams.
We are looking for someone who is highly organised, confident and proactive
. Initially, you will work closely with the Operations Manager while learning the company's processes, with the aim of becoming confident managing your own workload and coordinating projects from start to finish.
Your duties will include:
- Organising customer deliveries and keeping customers updated
- Liaising with customers regarding delivery dates and site requirements
- Sending out and chasing site information and paperwork
- Helping to identify any potential delivery or site access issues
- Obtaining quotes and arranging transport where required
- Helping to organise cranes, lifting equipment and other equipment for site deliveries
- Coordinating diaries and schedules for site teams
- Preparing customer enquiries ready for quotations
- Following up outstanding quotations by telephone and email
- Keeping customer and project information updated on the CRM system
- Completing and maintaining general project documentation
- Preparing standard site paperwork using existing company templates
- Keeping accurate records of projects, deliveries and customer communication
- Providing general administrative support to the Operations Manager
Ideally, you will have previous experience within project coordination, operations, administration or a similar role
.
You should also be:
- Highly organised and comfortable managing several tasks at once
- Confident speaking with customers, suppliers and site teams
- Comfortable using Microsoft Outlook, Excel, Teams and other Microsoft 365 systems
- Able to work independently and use your own initiative
- Confident following tasks through and making sure nothing gets missed
- Comfortable making telephone calls and following up with customers
Previous experience within manufacturing, construction, engineering or logistics would be particularly beneficial, although full training will be provided on the company's internal systems and processes.
Experience using CRM systems or dealing with transport, site paperwork, RAMS, PQQs, crane or HIAB bookings would also be advantageous but is not essential.

- 20 hours per week
- Monday to Friday, 10:00am - 2:00pm
- Permanent part-time position
- Office-based role in Swansea
