Job Purpose
  • The Admin Assistant – Booking will provide administrative and booking support for RSSE (AKUN, WAMA, GALAXEA) experiences and guest experience activities. The role is responsible for maintaining accurate booking records, coordinating guest enquiries, updating schedules and availability, supporting communication between guests and operations teams, and helping ensure a smooth and professional booking experience from enquiry through completion.
Job Responsibilities
  • Support day-to-day administration of guest bookings for RSSE activities and experiences of Akun, Wama and Galaxea.
  • Receive, log, and respond to booking enquiries in a timely and professional manner.
  • Maintain booking systems, calendars, schedules, availability, guest details, time slots, amendments, and cancellations accurately.
  • Prepare and send booking confirmations, updates, and relevant information to guests and internal teams.
  • Coordinate with operations teams to ensure guest requirements, activity details, timings, and special requests are clearly communicated.
  • Monitor schedules to avoid duplicated bookings, overlapping time slots, or incomplete booking information.
  • Provide administrative support for reports on bookings, cancellations, attendance, guest requirements, and other reservation matters.
  • Monitor and manage e-mail address of the different brands.
  • Support pre-activity communication by sharing accurate information on RSSE experiences, activity requirements, timings, and guest preparation details.
  • Assist guests with booking changes, cancellations, and general enquiries while maintaining a high standard of customer service.
  • Follow up with guests or internal teams where required to support feedback collection and service improvement.
  • Maintain organised records, trackers, shared folders, and booking documentation in line with internal requirements.
  • Support coordination with relevant departments to ensure a seamless booking and guest experience process.
  • Identify simple improvements in booking administration, data accuracy, communication flow, and scheduling efficiency.
  • Promote awareness of RSSE activities and experiences, including wider portfolio offerings where appropriate.
Policies, Systems, Processes, Procedures, Standards and Reports
  • Follow all relevant RSSE and functional policies, processes, standard operating procedures, and instructions.
  • Prepare accurate and timely booking updates, trackers, and reports to support operational and management requirements.
  • Maintain confidentiality and accuracy when handling guest, booking, and operational information.
Safety, Quality & Environment
  • Apply relevant safety, quality, and environmental management requirements when coordinating booking information and guest communications.
  • Ensure operational teams receive accurate details needed to support safe and high-quality activity delivery.
  • Contribute to improvements in booking administration, guest communication, data tracking, and reporting processes.
  • Share observations or recurring booking issues with the line manager to support better planning and service delivery.
