About

The Role

As a CBRE Workplace Experience Coordinator, you'll be the welcoming face and administrative backbone of our corporate office. This dynamic role requires extensive client-facing interaction, managing a wide range of front desk and administrative duties, and providing exceptional support to our vendors, visitors, and internal team. The ideal candidate will be adaptable, possess strong communication skills, and take ownership of creating a positive and efficient workplace environment.

This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.

What You’ll Do
  • First point of contact for all those entering the facility. Greet them with a friendly and welcoming demeanor. Issue visitor and parking passes and follow security protocols.
  • Provide extensive customer service, ensuring a positive experience for all external and internal stakeholders.
  • Manage a variety of front desk operations and administrative tasks with precision and efficiency.
  • Play a crucial role in the upcoming office relocation project, assisting with the transition to our new premises in March 2026.
  • Make a memorable first impression by answering the telephone in a professional manner. Create presentations and speak to various-sized groups.
  • Prioritize tasks effectively and demonstrate strong communication skills to manage multiple demands.
  • Exhibit adaptability and flexibility in a fast-paced environment where priorities can shift.
  • Proactively identify tasks and take initiative during downtime to maintain an optimal office environment, taking full ownership of the space.
  • Set up and troubleshoot projectors and other audio‑visual equipment for meetings and presentations.
  • Assist with the setup and preparation of meeting rooms for various events, including training classes and all‑hands meetings.
  • Manage and maintain the meeting room calendar, ensuring efficient scheduling and utilization.
  • Rearrange meeting room furniture as needed for different event requirements, requiring the ability to lift up to 50 lbs.
  • Monitor and maintain office common areas, including checking coffee machines and performing various related tasks.
  • Oversee stock levels of office supplies and submit timely replenishment requests.
  • Utilize Microsoft Office Suite (Outlook, Word, Excel) and Google Suite to track information, manage schedules, and perform administrative duties.
  • Effectively manage and execute a multitude of different tasks simultaneously.
  • Arrange and confirm recreational, dining, and business activities on behalf of the requestor.
  • Manage janitorial or maintenance work orders as needed. Coordinate and execute workplace services including mail, office supply services, and onboarding.
  • Acknowledge inquiries or complaints from employees, guests, and co‑workers. Provide solutions in a professional customer service‑driven manner.
  • Organize and manage on‑site events. This includes securing event space, set up and tear down of the room, and delivery of supplies.
  • Follow property‑specific security and emergency procedures. Notify appropriate parties to ensure the safety of all individuals in the building.
  • Coordinate with vendors who supply services or goods to the workplace.
  • Explain detailed and/or complicated information within the team. Follow specific directions as given by the manager.
  • Impact through clearly defined duties, and methods and tasks are described in detail. Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
What You’ll Need
  • High School Diploma or GED with up to 4 years of job‑related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.
