Responsibilities

Project Planning:
Develop comprehensive project plans, including scope, objectives, timelines, and resource allocation.

Team Management:
Build and lead a project team, assigning tasks, setting goals, and ensuring everyone understands their roles.

Stakeholder Communication:
Maintain open and effective communication with stakeholders, keeping them informed about project progress and any changes.

Risk Assessment:
Identify potential project risks and develop mitigation strategies to address them.

Budget Management:
Create and manage project budgets, tracking expenses and ensuring projects stay within budget.

Timeline Management:
Monitor project timelines and make adjustments as needed to keep the project on schedule.

Quality Assurance:
Ensure that project deliverables meet quality standards and client expectations.

Scope Management:
Define and manage project scope, making sure it aligns with the project's goals and objectives.

Issue Resolution:
Address any issues or conflicts that arise during the project and find effective solutions.

Documentation:
Maintain accurate project documentation, including plans, reports, and meeting minutes.

Change Management:
Handle changes according to policy, ensuring they are properly documented and communicated.

Reporting:
Prepare regular progress reports for both internal and external stakeholders.

Closure:
Ensure proper project closure by obtaining client or stakeholder approval, releasing project resources, and conducting post-project evaluations.

Continuous Improvement:
Identify opportunities for process improvement and apply lessons learned from previous projects to future endeavors.

Compliance:
Ensure that the project adheres to all relevant regulations, standards, and best practices

Technology Utilization:
Make effective use of project management software and tools to streamline processes and enhance productivity.

Leadership:
Provide strong leadership and direction to the project team, fostering a collaborative and productive working environment.

Delivery

Demonstrates, models and reinforces the Commission's fundamental values of fairness, cooperation, respect, commitment, excellence, honesty and teamwork

Provides high quality and professional customer service

Maintains high quality documentation

Coordinates with vendors and service providers to resolve support issues

Maintains appropriate documentation to support business and IT teams

Research and Planning

Keeps current with industry trends and practices

Researches, analyzes, recommends, designs, tests and implements new technologies and services to deliver cost-effective and technically efficient solutions

Assists leadership in establishing objectives, setting goals and establishing unit priorities

Assists leadership on technical and project-specific initiatives

Work with project management teams to facilitate large initiative planning and documentation

Work with stakeholders to gather and analyze requirements

Internal Processes & Support

Follows all established team processes and procedures

Facilitates relationship management efforts

Develops documentation for support processes, systems and procedures

Participates in the change management process

Tracks time for Professional Services billing purposes

Provides support assistance to internal and external customers

Maintains security, confidentiality and availability of systems

Must be available for on-call and/or overtime duties as required

Develops quality control methods for ensuring outputs meets standards

QUALIFICATIONS AND EXPERIENCE

Familiarity with Microsoft Visio and Excel. Knowledge of principles and processes involved in business and organizational planning, coordination, and execution.

Knowledge of current trends and State of Florida initiatives in the area of management information systems.

Ability to communicate information technology issues effectively with non-technical users.

Ability to work in Agile, Waterfall and Hybrid processes.
