Assistant Directorate Manager – A&E Reception and Ward Clerks
We are currently looking for a highly organised, motivated and efficient individual to join our dynamic Directorate within Clinical Support Services. The post holder will support the Deputy Directorate Manager in the operational delivery and performance management of the Ward Clerk and A&E administrative services, ensuring key targets are maintained and sustained.
The role requires working as part of the management team to establish sound administrative processes, support clinical teams to achieve operational objectives, and oversee day‑to‑day management of administration staff including appraisal, recruitment and retention.
Job Summary- Responsible for day‑to‑day management of all Ward Clerks and A&E based administration staff.
- Work with clinical teams to ensure services have the administrative workforce with the capacity and skills necessary to deliver high quality services.
- Manage and devise rotas or systems to meet competing workload demands, including short‑notice leave.
- Support manager and staff in reviewing, developing and implementing processes and systems.
- Maintain excellent customer service and communicate effectively with managerial, non‑clinical and clinical staff, and partner agencies.
- Oversee administration staff performance, appraisal and objective setting.
- Recruit, retain and develop staff to meet operational requirements.
- Ensure compliance with national, local and NHS policies.
- Analyse and report data to inform decision‑making.
- Develop efficient systems for workload management and staff rota planning.
- Engage with clinical teams to support service delivery.
- Educated to degree level or relevant equivalent skills and experience (e.g., 5 years managing Administration & Clerical services).
- High standard of learning (e.g., A Levels).
- High level of computer skills and high level of computer literacy.
- Previous management or supervisory experience.
- Minimum 12 months experience of day‑to‑day A&C management, including appraisal, objective setting, recruitment and retention.
- Knowledge of operational management within an NHS healthcare setting.
- Understanding of performance targets, finance and activity information.
- Ability to work under pressure, meet tight deadlines and prioritise workload independently.
- Strong written and verbal communication, organisational and analytical skills.
- Experience of utilising information relating to finance and activity analysis.
- Project management qualification or experience (desirable).
- Knowledge of 18‑week processes and PAS systems (e.g., Lorenzo). (desirable)
- Excellent interpersonal, communication and listening skills.
- Highly motivated and resourceful.
- High standards of diplomacy, confidentiality and discretion.
- Ability to work autonomously and within a team.
- Flexible, adaptable approach with willingness to work outside normal hours when required.
- Organised, methodical and calm under pressure.
- Strong customer service orientation.
