Location: Foxhills Club & Resort - Ottershaw, Surrey

Type: Full-time

Responsibilities
  • Handling all conference enquires and supervise the team in delivery of private dining events, parties and Foxhills member’s social events along with weddings, golf days, corporate fun days as business levels require and ensuring the highest level of customer service through this process.
  • Have a good knowledge of all Resort facilities, tariffs and rates to ensure the Resort is generating revenue in line with budgets.
  • Follow business strategies and employing good diary management skills when handling enquiries to maximise occupancy and rooms profitability for accommodation, conference and events whilst ensuring a good understanding of departmental budgets/targets.
  • Maintain the standard set out by the company regarding enquiry handling and to drive process improvements where necessary.
  • Hosting show rounds and showcases in order to create further demand and conversion of enquiries.
  • Carry out proactive selling and effective up-selling to our guests. Upgrade bedrooms, menus, conference rooms and drinks.
  • Provide administrative support to the sales team, including managing calendars, scheduling appointments, and preparing sales documents and presentations.
  • Assist in the coordination and execution of sales events, trade shows, and promotional activities.
  • Respond to inquiries from clients and prospects, providing information on products, services, and pricing.
  • Maintain customer databases and CRM systems, ensuring accuracy and completeness of customer information.
  • Ensuring relevant deposits are received when due and all event revenues are charged onto the correct accounts.
  • Collaborate with other departments to ensure seamless execution of sales initiatives and customer satisfaction, including assisting the Restaurant and Operational Managers with functions and conferences on the day.
  • Supporting the Revenue & Events Manager to ensure smooth running of the office, supporting with weekly and monthly reporting and deputising as required.
  • Supporting with the creation and implementation of training programmes for the team constantly offering knowledge and assistance to new members of the team and support to existing members.
  • Carry out any additional duties as reasonably requested by the management team.
Requirements
  • Previous experience in sales support and administration
  • Experience in a supervisory position is ideal
  • Strong organisational and multitasking abilities, with excellent attention to detail
  • Excellent communication and interpersonal skills, with the ability to interact effectively with clients and colleagues
  • Proficiency in Microsoft Office suite and CRM software
  • Ability to work independently and as part of a team
  • Flexibility to work evenings, weekends, and holidays as needed
