Accounting Assistant, Bookkeeper/ Accounting Clerk

Job Summary:
The Accounting Assistant will support the day-to-day operations of the Accounting department. This role involves, but is not limited to, handling accounts payable and receivable, supporting month-end (and year-end, as needed) financial close processes, and Data/Project Entry. The ideal candidate is detail-oriented, organized, and capable of working in a dynamic, fast-paced environment.
Key Responsibilities:
Process vendor invoices, verify expenses, and ensure timely payments.
Support the Billing Specialist in generating invoices for clients, managing collections, and applying payments.
Assist in preparing payroll by verifying employee timesheets and time entry.
Maintain accurate and up-to-date records of financial transactions in the accounting system.
Assist with accurate project entry into the Deltek Ajera Accounting system, supporting Billing Managers and Project Managers as needed.
Assist with month-end financial reporting, including reconciling accounts and preparing reports.
Review and process employee expense reports, ensuring compliance with company policies.
Provide assistance to the Billing Specialist, Strategic Controller, and other members of the accounting team, and Project Managers as needed.
Qualifications:
Associate's degree in Accounting, Finance, or a related field (or equivalent experience).
Minimum 1-3 years of experience in an accounting or bookkeeping role, preferably in a small to medium-sized business.
Skills:
Proficiency in accounting software (Deltek Ajera a plus) and Microsoft Office Suite.
Strong organizational skills and high attention to detail are essential.
Excellent written and verbal communication skills, with the ability to interact with internal teams and external vendors/clients professionally.
Ability to work well in a team-oriented, family-owned business environment.
Willingness to take on new tasks and assist with various aspects of the accounting function as needed.
