Job Overview

Pavemaster Asphalt Paving LLC is seeking an experienced and detail-oriented Office Manager to oversee administrative operations and ensure smooth day-to-day business functions. The ideal candidate will be charismatic, knowledgeable in Quick Books, and skilled in bookkeeping, certificates of insurance (COIs), and standard office management practices. This role is critical in supporting our fast-paced construction business by maintaining accuracy, organization, and efficiency across all administrative functions.

Key Responsibilities
  • Oversee daily office operations, ensuring accuracy and efficiency in all administrative processes.
  • Manage bookkeeping tasks, including invoicing, payroll, and financial recordkeeping using Quick Books.
  • Track and maintain Certificates of Insurance (COIs) for subcontractors, vendors, and clients.
  • Support company leadership with reporting, scheduling, and document preparation.
  • Organize and maintain digital and paper filing systems for contracts, financials, and compliance documents.
  • Assist with employee onboarding, HR documentation, and timekeeping records.
  • Handle communication with clients, vendors, and internal staff in a professional manner.
  • Prepare weekly, monthly, and annual reports for management review.
  • Support special projects and additional tasks as needed to ensure office efficiency.
Qualifications
  • 2+ years of office management, administrative, or bookkeeping experience.
  • Proficiency in Quick Books and strong knowledge of bookkeeping principles.
  • Experience handling Certificates of Insurance (COIs) and construction office documentation.
  • High School Diploma or GED required; higher education or training in business administration a plus.
  • Strong organizational skills with excellent attention to detail.
  • Charismatic and professional communication skills (written and verbal).
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and general computer applications.
