JOB DESCRIPTION

This position serves as the Human Resource (HR) Liaison for the DBS District 7 Office, located in Tampa, Florida. The incumbent provides high‑level administrative support by conducting research, preparing reports, handling information requests, assisting with program management, and performing administrative and clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The HR Liaison prepares personnel recommendation packets, routes personnel packets, assists with hiring and recruitment activities, and works closely with State Office Human Resource staff.

Responsibilities also include handling travel authorizations, reimbursements, p‑card transactions, securing travel accommodations, preparing travel itineraries, and overseeing fleet management—including maintenance, fueling, cleanliness, and mileage reporting.

DUTIES & RESPONSIBILITIES
  • Assist the District Administrator and Assistant District Administrator as needed.
  • Prepare and maintain records and reports, including recommendations for solutions to administrative problems, financial reports, applications, and administrative orders.
  • File, maintain, arrange for storage, retrieve, or reproduce documents, records, and reports.
  • Assist with data entry and use various databases and programs relevant to the Division of Blind Services.
  • Help plan meetings and/or conferences.
  • Read and respond to correspondence.
  • Assist with Human Resource duties.
  • Prepare travel authorizations, reimbursements, secure accommodations, and make travel arrangements.
  • Serve as the district office fleet point of contact, preparing fleet/vehicle reports, providing maintenance, cleaning, and fueling.
  • Stay abreast of administrative rules and policies to interpret and apply them appropriately.
  • Provide assistance to staff, consumers, and the public while delivering optimum customer service.
  • Independently prepare correspondence, audit travel claims, maintain administrative records, and handle other documents as directed.
  • Process personnel forms following State, FDOE, and Division rules, including employee benefits, attendance, leave, disciplinary actions, and separations.
  • Process Administrative Purchase Orders and MITs in accordance with state purchasing guidelines.
  • Ensure office supplies are ordered and maintained.
  • Enter data into the AWARE system, including authorizations and invoices for client services.
  • Serve as the office inventory custodian, performing annual property inventory.
  • Maintain office automation equipment and assist staff with IT issues.
  • Record and track state vehicle usage data, report weekly and monthly, and schedule maintenance and repairs.
  • Update and maintain the Division's COOP Plan for the District Office.
