The Executive Assistant (EA) to the Partner/Chief Investment Officer plays a critical role in enabling executive effectiveness and operational excellence. This position serves as the primary day‑to‑day support for the CIO, managing complex priorities, communications, and logistics with precision and discretion.
The ideal candidate is highly organized, proactive, detail‑oriented, and comfortable operating in a fast‑paced, high‑expectation environment. This role requires strong judgment, strategic thinking, and absolute confidentiality. The EA is trusted to anticipate needs, solve problems before they arise, and act as a professional extension of the Partner/CIO.
Key Responsibilities Executive & Administrative Support- Manage and maintain a highly structured, complex executive calendar with competing priorities.
- Prepare the Partner/CIO for daily activities, meetings, and deliverables.
- Anticipate needs, proactively resolve issues, and ensure seamless daily operations.
- Review, organize, and prioritize email and correspondence.
- Manage expense reports and administrative documentation.
- Serve as the primary point of contact and liaison between the Partner/CIO and clients, advisors, vendors, and internal teams.
- Answer phones and schedule appointments with professionalism and discretion.
- Effectively manage relationships with tact, courtesy, and professionalism.
- Prepare the Partner/CIO for meetings & speaking engagements, including materials, logistics, and follow‑up needs.
- Coordinate all aspects of domestic and international travel.
- Ensure meeting readiness and alignment with business priorities.
- Handle ad hoc projects and responsibilities as needed.
- Act as a coordinator for the Asset Management team.
- May assist with limited personal scheduling and administrative matters.
- Adapt to evolving priorities and shifting demands with flexibility and poise.
- 5+ years of experience as an Executive Assistant supporting senior leadership.
- Financial services or professional services experience preferred.
- Exceptional organizational, prioritization, and problem‑solving skills.
- Proven ability to work independently with sound judgment and minimal supervision.
- High level of discretion; demonstrated experience handling confidential information.
- Strong written and verbal communication skills with executive presence.
- Ability to adapt quickly to changing priorities and ambiguity.
- Proficiency in Microsoft Office; quick to learn new technologies and systems.
- Polished, professional demeanor with a proactive, service‑oriented mindset.
