Job Description

The Administrative Support position provides clerical and operational assistance to technical staff, office personnel, and management. This role supports staff and leadership with daily office operations and event logistics, including coordinating catered lunches and assisting with setup and cleanup for company events and meetings.

Administrative Support Specialist | Tampa, FL Responsibilities
  • Perform general administrative support for office and engineering staff, including data entry, printing, copying, scanning, and mailing lists.
  • Provide support for company events, employee gatherings, and special projects as assigned.
  • Coordinate catered lunches for meetings, training, and company events, including placing orders, confirming details, and communicating with vendors.
  • Assist with setup and cleanup of conference rooms and common areas before and after meetings, lunches, and company events.
  • Maintain office supply inventory, place orders, and organize supply storage areas.
  • Create and submit purchase orders.
  • Handle daily mail distribution, UPS shipments, and occasional post office runs.
  • Assist technical personnel with the preparation, data entry, assembly, and collation of technical proposals and presentation packages, including copying, printing, and binding.
  • Assist with utility coordination, including processing design tickets and maintaining follow-up spreadsheets with utility owners.
  • Coordinate corporate vehicle reservations and scheduling.
  • Ensure completion, filing, and submission of vehicle-related documentation, including accident reports, inspections, mileage logs, maintenance records, and workers’ compensation forms; coordinate administrative vehicle repairs as needed.
  • Maintain and update PTO calendars.
  • Coordinate registrations for trainings, career fairs, association seminars, meetings, and luncheons.
  • Support front desk operations by answering phones, greeting visitors, and serving as backup to the Receptionist, including lunch and break coverage.
Qualifications
  • High school diploma or equivalent required.
  • Previous administrative or office support experience preferred.
  • Proficiency with Microsoft Office and basic office technology.
  • Strong organizational and time-management skills with attention to detail.
  • Ability to multitask and work effectively in a team-oriented environment.
  • Professional communication and customer service skills.
  • Ability to lift and carry up to 20–30 pounds.
